1 Rotary Member Access A Tool for Club Presidents and Secretaries

2 Functions of the Member Access Portal With the Rotary Member Access Portal, club presidents and secretaries can perform the following club administrative functions: View and change club membership data Pay club dues (during January and June only) Update club data View reports for club contributions to The Rotary Foundation View the Official Directory

3 Member Access for individual and officer functions

4 Enter username if registered Enter password if registered Register

5 Registration To register for Member Access you will need the following: Your district’s number Your club’s number Your membership ID number A valid e-mail address

6 Username and Password Once you have registered your identification numbers, the Portal will prompt you to designate your e-mail address as your username. A password will be then e-mailed to you. When returning to the Portal, sign in with your username (e-mail address) and the password you received. You may change your password and username once you have entered the Portal.

7 Registration Information How can you obtain the necessary numbers to register for the Rotary Business Portal? 14 View Membership Data The view function shows the name and contact information for each member. You can also view a member’s: Committee participation Offices held Membership details

15 Terminating Members When terminating a member from your club, use the drop down boxes to indicate the: Reason Date

23 Generates a pdf listing of member details Club Recognition Summary: Generates a pdf listing of member contributions to RF Monthly Contributions Report: Generates listing of Club contributions to RF

24 View Club Recognition Summary A Club Recognition Summary (CRS) report shows contributions to The Rotary Foundation for all club members and other donors. The district governor also has access to this report.

25 View Monthly Contribution Reports A Monthly Contribution Report (MCR) shows Rotary Foundation contribution information for all the clubs in the district. The district governor also has access to this report.

29 Adding Members When adding a new member to your club, it is suggested that you search for that member first to avoid duplicates. You can search by: Membership ID Name

31 Semi-annual dues

32 Pay Club Dues You can view your club’s semiannual report and pay club dues using a credit card in January and June.

34 Update Club Data Use the Club Data Form to change your club’s: Meeting day Meeting time Meeting location Other details

36 Update Club Officer Information The bottom portion of the Club Data Form allows you to enter the names of incoming club officers.

37 Choose relevant Rotary year Ditto secretary Exec sec - often not a club member Incoming officers need to be defined to allow them privileged access for their Rotary year.

38 View the Official Directory The online version of the Official Directory allows you to: View current committees and task forces View the RI Board of Directors and The Rotary Foundation Trustees Search for club and district information

39 Other Business Portal Functions All Rotarians (including club officers) can access the Members Access for the following individual functions: Contribute to The Rotary Foundation View your personal contribution history Manage e-mail subscriptions

40 Contribute to The Rotary Foundation All Rotarians can contribute online to The Rotary Foundation using a credit card.

41 View Your Contribution History All Rotarians can view their entire contribution history to The Rotary Foundation, including Paul Harris Fellow and Major Donor status.

42 Manage E-mail Subscriptions All Rotarians can choose the categories of e-mail correspondence they would like to receive from Rotary International. This screen also shows the e-mail address used to subscribe.
