CLF FY10 Recommendation March 21 st 2009

CLF FY10: Recommendation to BOD Participants Only RCRs (14), RCNEs (10) and Senators (10) to attend the CLF in FY10. No SWEFLs, alternates or replacements. The total trainers to be reduced to 5. Total of 39 SWE participants. General CLF activities No need to include sweaters, no Friday or Saturday night dinners with events (e.g. etiquette dinner), no evening activities etc. Need one or a couple of BOD members to review the CLF schedule. (This will happen when we try to coordinate the meetings. Do we need to review the content of training material?) Funding Request that collegiate members pay to attend CLF ==> $50/person. The level of funding each collegiate gets should be comparable to the financial support that we give to the RGs. Propose the following budget for CLF: $500/person for travel & hotel stipend (39 people)==> $19,500 $Food & beverage (2 days) ==> $ 7,500 AV equipment ==> $ 500 Grand Total ==> $27,500 ($2,500 more than the $25K donation we have received )

Pros and Cons of Collegiate Senators Attending CLF ProsCons Senators will receive necessary knowledge of SWE and other society training to feel comfortable in their positions Will impact if Collegiates run for RCR or Senator Opportunity to meet with BOD, BOT, and RGs, RCRs, RCNEs, SWEFLs Potential need to reduce the number of SWEFLs or add cost to the collegiates to attend CLF Able to Attend the Joint meeting between BOD, BOT, RGs, and Collegiates at CLF – helps to understand the society as a whole and prepare for year Senators will not be as prepared as RCRs have been the last 4 years CLF will not be a factor in Collegiates deciding between RCR/RCNE – Senator can be the more prestigious position Missed opportunity to meet with BOD, BOT, RGs, RCRs, RCNEs, SWEFLs Face time among the Collegiate Senators to talk issues and how they will impact collegiates without professional bias Adding Senators will put us past 1 bus and small meeting room capacity SWEFLs will be exposed to all collegiate leadership positions they should be aspiring for If not at CLF the SWEFLs will not see this as a position to aspire for If Mentoring pairing occurs at CLF then Senators involved in BOD Mentoring Puts Senator position below RCR and RCNE in prestige If Mentoring pairing occurs at CLF then Senators not involved in BOD Mentoring

Why Collegiate Senators Need to Attend CLF Collegiate Senators need additional training in Knowledge of SWE, Professional, and Leadership above Senator training to catch up with Professional Senators Face to Face Meetings and Networking opportunities with fellow Collegiate Senators and other National Leaders allows for a strong support structure for the year ahead

Why CLF in addition to Senator Training Collegiates Senators need more history of SWE than a Professional Senator This will be their 1 st year in COR At most only 2-5 years total in the society They need a history of COR/Senate Likely none of the Collegiate Senators will have been on COR or have much knowledge of what the Senate really does Most RCRs admit this after learning more at CLF Need help understanding Strategy vs Tactical Planning 1 year out is Strategic to most college students. They need help making the jump to planning 3-10 years out

Why CLF in addition to Senator Training CLF provides a place to ask “stupid” questions or ones that are scary to ask in front of professionals Allows them to build their support network for the year ahead Vital to make them active participates in the Senate and excited for the year ahead Allows them to be linked into the Region Collegiate Leadership right away

Options to Add Senators to CLF without Significant Financial Impact or Cutting SWEFLs Option #1: Collegiate are asked to pay the 1 st $150 of travel to CLF Pros: -Generates ~$9,000 -Reduces HQ cost to ~$60,000 -Collegiates feel invested in CLF Cons: -Logistical challenges of getting $150 from each collegiate -May need to provide resources to help collegiates seek support with funding -Do not want to turn away a good candidate due to cost Option #2: Cut the Friday and Saturday Night Activities from HQ budget – Collegiates pay for themselves Pros: -Reduces HQ cost to ~$60,000 Cons: -May lead to collegiates thinking these events are optional and not attending Option #3: Look at alternative lower cost hotel for the Collegiates, or renting a dorm for the weekend Pros: -Unknown cost benefit Cons: -May increase transportation cost -Harder to network with BOD, BOT, and RGs in the evenings -Disconnected from the rest of the SWE members Option #4: Allow members and CLF Alumni to help support CLF. Pros: -Let’s Members and Alumni support an event they see benefit in -Could generate as much as 1 corporate sponsor Cons: -Likely too late to ask for FY10 -Not predictable year to year

Recommendation 1. Include the Collegiate Senators in CLF 2. HQ fully Support CLF Training for all Members 3. If there is not enough budget, then Option 1 from previous slide Collegiate are asked to pay the 1 st $150 of travel to CLF
