Academic Writings and Citation Styles In academic writing, whenever we use someone else’s works, ideas, theory, quotes, methods, data, etc. we must cite the original source Citation styles are the rules that govern on how we format these citations There are many different citation styles set up by different academic bodies or publishers. The most commonly used ones include the APA style, MLA style and the Chicago style 3

What is RefWorks? In short, RefWorks is a web-based software that helps you organize your citations and prepare your reference list / bibliography:  Create a personal database online  Import citations automatically from Library catalogues, online databases or web pages you find on the Internet  Organize and manage references  Generate in-text citation, bibliography or reference list in the citation style of your choice, including APA, MLA, Harvard, Chicago style and more Use it anytime, anywhere, any devices where there is internet access. 5

First Time User: Create Your RefWorks Account 1. Library Home Page  E-Resources  RefWorks Icon ( ttps:// cation::init&groupcode=RWLingnanUL)RefWorks Iconhttp://proxy1.library.ln.edu.hk:2048/login?url=h ttps:// cation::init&groupcode=RWLingnanUL 2. Click Signup for an Individual Account on the Left Panel 3. Fill in required information – Must use Lingnan address 6

Adding Data to RefWorks Direct Export from Library Catalogue or online databases Import Filter (Copy–and–Paste) RefGrab-It Adding Web pages Create Records Manually 9

Direct Export -- Library Catalogue Use the Export to RefWorks button at the full display of a library record: 10

Last Imported Folder The imported data will be first placed in the last imported folder. This folder only contains the latest imported records. All previously imported records are stored in the databases but not associated with any folders. 11

Direct Export -- LexisNexis (1) 13 At the result list or article display screen in LexisNexis Academic, look for the icon for Direct Export to RefWorks

Direct Export -- LexisNexis (2) If you have already logged in to RefWorks, the results from LexisNexis Academic will be immediately transferred to RefWorks, otherwise, you will be asked to log in. After import is completed, click the Edit Imported References. Enter LexisNexis Academic as Database, type in Links field; then click Save Changes. 14 Click OK to confirm adding data to Electronic Source Related Fields in reference(s).

Direct Export -- LexisNexis (3) (Global Edit) 15 Now click View Last Imported Folder and select Global Edit icon.

Direct Export -- LexisNexis (4) (Global Edit) Select Source Type under Field to Add Data. Then choose All in List, set Source Type as Electronic and click Add Data. 16

17 Direct Export -- LexisNexis (5) (Global Edit) Click OK to confirm adding data to Source Type in reference(s) A “Completed” message box will be displayed on the bottom right hand corner of the screen. Finally, you can click the “X” icon to close the Global Edit. Type "EDIT ALL" in the box and then click Edit References to confirm that you wish to edit all references.

Direct Export -- EBSCOhost 1. At the Search Results in EBSCOhost, select which citations to keep by clicking on the “Add to folder” 2. Click on the “Folder” link on the top and check “Select all” 3. Click Export 4. Choose Direct Export to RefWorks and click Save 5. If you have already logged into RefWorks, the selected EBSChost records will be imported to RefWorks immediately; if you haven’t logged in, you will be asked to login first. 6. Under “Edit Imported References”, add the name of the database (e.g. Academic Search Premier or Business Source Premier) and then click Save Changes 7. Click OK to confirm adding data to Electronic Source Related Fields in references 8. Then click View Last Imported Folder and select Global Edit 9. If you are using online full text, then change the Source Type to electronic (follow the last steps in the LexisNexis session above); if you need to get the full text from print copy, there is no need to change the Source Type 18

Exercise Go to Academic Search Premier (EBSCOhost) Eresources  Databases  Academic Search Premier (EBSCOhost) Conduct a search: (ebook or etext) and ipad Mark 3 records found and export to Refworks 19

Import by Copy-and-Paste -- Multiple Records from Library Catalogue (1) 1. Search Library Catalogue by keywords / subject / author / title, etc. 2. Save multiple records on results list or Mark individual records on single record display 3. Click Marked List button to view previously saved / marked records. 4. Choose MARC Format and Output to Screen 5. Click Submit button 6. Ctrl-A to select all; Ctrl-C to copy to clipboard 21

6. Now Switch to the RefWorks Session (or open a new window and login to RefWorks) 7. Select References  Import 8. Select From Text 9. Select Import Filter/Data Source = MARC Format 10. Add Web Pages to RefWorks -- RefGrab-It (1) RefGrab-It is a plug-in to be installed to your web browser. It helps to gather web page information to RefWorks. It’s available under Tools after you login to RefWorks Installation and instructions:  Using_RefGrab-It_to_Capture_Web_Page_Data.htm Using_RefGrab-It_to_Capture_Web_Page_Data.htm 27

1. Select RefGrab-It within RefWorks under the Tools pull-down menu. 2. Right click on RefGrab-It to bookmark link. 3. Click on Bookmark This Link. 28 Add Web Pages to RefWorks -- RefGrab-It (2)

29 Add Web Pages to RefWorks -- RefGrab-It (3) To cite a particular web page, first open it in the web browser and then click the RefGrab-It link. A separate window will pop up. Select the reference and click the Import To RefWorks button to transfer the information to RefWorks.

Input Records Manually 1. At RefWorks Menu  References  Add New 2. Choose the desired output format in Fields used by (e.g. APA style) 3. Choose Reference Type (e.g. Web Page, Journal Article, Book Whole, etc.) 4. Type in the citation information 5. Move the mouse cursor to the field names to view the meaning of the fields and required input format 6. Click “Save Reference” 30

Input Records Manually: Author format Surname (last name) first, followed by a comma, space and the first name(or first initial follow by a period) Each author name must be separated by a semi- colon. E.g. Clinton, Bill; Smith, John D. 31

Organize References with Folders The View option is located at the menu bar below the RefWorks Logo Select New Folder icon to create a new folder (subfolder) Enter folder name and click Create Select the records you want and use the (Add to folder option)to store the selected records in the desired folder Each record can be put in as many folder as you like View All References or Last Imported Folders; Click the New Folder icon on the upper left screen to create your new Folder 32

1. Click the Create Bibliography icon 2. Select desired style from the Output Style drop- down menu 3. Under the Format a Bibliography from a List of References, select desired format from the File Type drop-down menu 4.
