Webcast Training for Committee Leaders December 2 nd, 2015 Presented By: Victor Morales Legal Resources Manager Association of Corporate Counsel 1

Agenda Intro to ACC Webcasts Webcast Process in a Nutshell The Committee Sponsorship Agreement (CSA) Responsibilities of Committee Leader(s) tasked with Webcasts Strategies for Achieving Your Goals Resources Questions? 2

Intro to ACC Webcasts ACC Webcasts are audio-visual presentations (no video) that generally are: –60 minutes in length (45 – 55 minutes of substantive presentation, the rest for Q&A); –Restricted to participation by chat-only from the audience; –Have one in-house counsel panelist (mandatory); –Include, at minimum, a 30 slide ppt deck for materials; –Promoted to the entire ACC membership; –Sponsored by a law firm and/or legal services provider; –Accredited for CLE/CPD credit. 3

Intro to ACC Webcasts ACC Webcasts is one service amongst many of ACC’s Online Education offerings. –A few of the ACC Chapters conduct their own webcasts. –Like our ACC Webcasts, our CCU and Annual Meeting sessions are recorded and provided on the website afterwards. 4

Webcast Process in a Nutshell A proposal is submitted to ACC (7 weeks prior to earliest proposed airdate). ACC approves or rejects the webcast topic within 48 business hours. –What does a rejected webcast topic look like? If the topic has been done within 6 months (exceptions apply). If the topic is determined to be a “hard sell” Once approved, ACC will notify the submitter and the panelists with confirmation and the deliverables. 5

Webcast Process in a Nutshell One week prior to the accepted airdate, ACC should have the ppt slides (on ACC’s template), the panelist bios, and additional materials. One to two weeks prior to the accepted airdate, a training should take place with the panelists and ACC. Poll Questions may be submitted to ACC 48 hours prior to the airdate. 6

7

Webcast Process in a Nutshell All panelists are required to dial-in to the conference line 30 minutes prior to the start time of the webcast on the day of. The presentation takes place. Afterwards, the committee leader and the sponsor will receive a report sharing the attendance #, the titles and companies to the attendees, and any questions asked. –Sponsors have the choice as to whether they’d like to create an FAQ for questions they were unable to answer during the webcast. –Webcast attendees must opt-in during registration for us to share their contacts with the sponsor. 8

Webcast Process in a Nutshell What does ACC do during the process? –File for accreditation in certain jurisdictions for CLE/CPD credit. –Promotes the webcast online and via a monthly all member . –Ensures compliance with the deliverables. 9

Responsibilities of a Cmte Leader Tasked with Webcasts What you can do to help: –Every committee should have a decision from their Committee Sponsor regarding their CSA no later than February 15th. –A strategic goal should be put in place establishing the # of webcasts the committee would like to see. You are not limited by the number your Committee Sponsor wishes to do! –You can provide invaluable guidance for your sponsor when it comes to the topics for the year and setting the schedule. –You can assist the sponsor with finding panelists, or volunteer yourself to be a panelist. 10

Responsibilities of a Cmte Leader Tasked with Webcasts What you can do to help: –You can also ensure that the sponsor fulfills their deliverables in a timely manner, preventing delays and/or cancellation. –You can collaborate with other sponsors, committees, and members to develop more webcasts. –You can announce the upcoming webcast on your call(s), post to eGroups, and spread the word. –You can guide the sponsor on the process and explain how straightforward the platform is. 11

Strategies for Achieving Your Goals Collect Program Ideas There are a number of resources available to us to mine for program ideas. The following are just a few examples: –Past Events. Sometimes events are so popular, we should consider making it an annual presentation (assuming the law is still good and timely). –Sponsors. Some sponsors really know how to showcase their expertise in a manner that is really interesting to in-house counsel. Engaging them in the conversation can lead to some really interesting results. –Competitors. What are your competitors doing in your area? What is successful for them and why? –Members. What are they concerned about right now if you were to ask? What topics always catch their interest? 12

Strategies for Achieving Your Goals There are a number of resources available to us to mine for program ideas. The following are just a few examples: –Annual Meeting program submissions. Just because they were declined doesn’t mean they are bad ideas! –Surveys. Committee usually conduct a survey every other year. –Past Webcasts. Sometimes a Webcast is so popular, we should consider making it an annual presentation (assuming the law is still good and timely). –Popular Legal Quick Hits (LQH). Ever have a LQH that really knocked it out of the park? Consider expanding that for the benefit of the entire membership! –Sponsors. Some sponsors really know how to showcase their expertise in a manner that is really interesting to in-house counsel. Engaging them in the conversation can lead to some really interesting results. 13

Strategies for Achieving Your Goals Hypo: Let’s say you’ve been assigned to do 6 – 8 webcasts for the year, and you have a Committee Sponsor that has only committed to 3, even after you’ve asked them to consider doing more. What now? –Collect your program ideas and contact ACC. We can help find other firms/service providers with the expertise to speak on the topic. –You and your peers on the committee leadership can reach out to their contacts with law firms and see if they are interested. ACC can provide you with some basic information, and then work out the deal if they are interested. –Keep your eyes/ears/mind open to collaboration! ACC is contacted regularly from potential sponsors hoping to work with you. In addition, opportunities arise with Chapters (including global) and other committees. Check in regularly with your ACC liaison or myself. 14

Strategies for Achieving Your Goals Hypo: I don’t have sponsors that are interested right now. Can I still do a webcast? –Consider doing member-driven webcasts such as lectures, updates, or roundtables (having a group of members discuss how they are tackling an issue and invite the membership to listen in). ACC’s Committees can be an invaluable resource. 15
