Guide By Phoebi Stewart

has changed the way we communicate with each other. Being able to send information quickly across the internet with such little hassle. But what is ? What can it do? How does it work?

What is An is a message distributed by electronic means from one computer user to one or more recipients via a network. is important to society because it allows quick communication with people that could be in the same building, in the same city, country, or even on the other side of the world. It helps businesses make quick decisions and lets friends talk when they’re away.

Replying Replying to an means you can send a direct response to an exact , as apposed to just sending an in general. This is also useful because it can group conversations together so you can go back and look at what was said, instead of just having a mass of different s that you have to sort through. This is useful in a business situation because it means if you are sending lots of s you can keep track of which one you replied to and if you get a reply, you know which they’re replying to.

CC – Carbon Copy A carbon copy is a copy of an that can be sent to a different person. This is useful because in everyday usage, the people in the To field are the important audience of the message and the people in the CC field are others who the author wishes to publicly inform of the message. This is useful for a business because it is considered good practise to indicate to recipients when someone has been included in the conversation.

Reply All Reply All is used so that when an has been sent to multiple people, if you select reply all it sends a reply to everyone who received the . This is helpful if there are multiple people in the conversation you want to know you don’t have to send them all separate s, and you can send them all the same at the same time. This is helpful for a business as it would save time and would be able to inform more people faster if there was an important development or if something important happened.

BCC - Blind Carbon Copy BCC field recipients are those secretly being informed of the communication. This can allow people to have a copy of a message without the main recipient of the knowing. This is useful for businesses because if your boss wanted to keep track of your s, you would be able to send a BCC to your boss so the customer/recipient of the wouldn’t have to know about it.

Forwarding Forwarding an allows you to send an exact copy of an that you have received to someone else. This can help so that if you are passing a message on, you don’t make any mistakes which could cause confusion to whoever you were sending it to. This is useful in businesses because if someone receives an and told to send it to someone else, it saves time by not having to write the entire out again and it allows the second person to receive the exact same .

Subject The subject of an is to tell the person being sent the , roughly what the is about. This is useful as it allows the recipient to know what the is about and if they need to look at it now or if it’s a situation for later. Which is also helpful for business uses as it saves people time from reading the whole to know what its for and if it applies to then and now.

Out Of Office Reply If you send someone an but they are away or unavailable for a period of time, it is a feature that will send a reply to the sender saying that they are unavailable and give a list of ‘In Case of Emergency’ contacts. This is useful so that the sender is not waiting for a reply as they will receive an saying that the recipient is unavailable and can sort out any issues.
