Defining roles on the Regional Leadership Team Position-by-Position

Regional Director Serves as direct supervisor of volunteers on the Regional Leadership Team, managing performance and serving as the primary point of contact for the programs, services, and other business of the region Schedules and leads all Regional Leadership Team meetings, including disseminating an agenda in advance Leads all Regional Leadership Team meetings and ensures someone records them/makes minutes available Shares any decisions or outcomes from the regional directors group or ACUI Leadership Team Notifies the Central Office of all volunteer selections and resignations Uses the regional community of practice as the primary method of communicating with team members

Central Office Staff Liaisons Serves as an advisor to Regional Leadership Team volunteers, providing support and serving as the primary contact for position-specific policies, procedures, and other standards Provides any performance feedback to the regional director about team members Schedules and leads all position-specific meetings regularly (at least quarterly) Manages the private community of practice for regional positions Is responsible for position-specific training and associated resources Encourages regular communication between team members and the regional director

Student Regional Director Communications / Web and Social Media Coordinators – Create communications and social media plans to reach students about regional happenings Membership Coordinator – Collaborate on recruitment and retention strategies for student members Volunteer / Awards and Scholarships Coordinators – Work to recruit a diverse pool of applicants to succeed the student regional director – Assist in soliciting nominations for any awards or scholarships for which students are eligible Regional Conference, Educational Programs, and Online Learning Coordinators – Collaborate on any student-focused regional educational programs and/or programming for students at regional programs

Business Manager All team members – Coordinate annual regional budget submission for the region, working with other RLT members to compile – Coordinate RLT meeting travel including airline reservations when necessary – Oversee all financial transactions Awards and Scholarships Coordinators – Budget requests for awards and scholarships – Provide approval to ACUI central office to apply regional scholarship funds for scholarship recipients’ program registration fees or other awards Regional Conference / Educational Programs Coordinators – Create the budget for regional events – Oversee reconciliation of silent auction and any other financial transactions – Assure any cash collected at events is converted to check/money order and monies collected are sent to central office for processing

Communications Coordinator All team members – Scheduling communications, approving desired campaigns Business Manager – Discuss budget implications of desired communications projects (postcards, program books, etc.) Web and Social Media Coordinator – Work together on the marketing of programs Regional Conference / Educational Programs Coordinators – Approving logos/program book/other program-related publications

Web and Social Media Coordinator All team members – Updating/creating necessary web content and social media posts Communications Coordinator – Work together on the marketing of programs Regional Conference, Educational Programs, and Online Learning Coordinators – Publishing event information to website/calendar

Corporate Partnerships Coordinator Business Manager – Ensure that any sponsorships and regional expo rentals are paid Communications / Web and Social Media Coordinators – If there is certain information about regional conference expo or sponsorship fulfillment (i.e. company logo on conference website), work with these positions to ensure fulfillment needs are met Regional Conference, Educational Programs, and Online Learning Coordinators – Collaborate to ensure that there is premium space and time in schedule for dedicated expo time as well as a good location at the conference facility – Work with regional planning teams to ensure that any sponsorship fulfillment is completed before, during, and after conference – If there are sponsorship opportunities at other regional programs, work with this position to develop these opportunities

Inclusivity Coordinator All team members – Serve as a resource in the creation and implementation of standards as elements of a multicultural organization – Assist in assessing data as it relates to a multicultural organization Student Regional Director – Help be an advocate for recruiting students of diverse backgrounds to consider a career in the profession/volunteering with ACUI Volunteer Coordinators – Collaborate in ensuring fair access to volunteering for diverse audiences Regional Conference, Educational Programs, and Online Learning Coordinators – Serve as a resource in ensuring Intercultural Proficiency is covered in educational programs

Membership Coordinator Student Regional Director – Brainstorm ways to increase student participation/membership Communications / Web and Social Media Coordinators – Create membership recruitment, retention, and benefits messages for regional specific members and upcoming regional programs – Invite nonmembers to regional programs Volunteer / Awards and Scholarships Coordinators – Include messaging in membership messages as it pertains to volunteer / scholarship opportunities Regional Conference, Educational Programs, and Online Learning Coordinators – Develops and implements a newcomers program at the regional conference, to include pertinent information on ACUI and ways to get involved – Include special nonmember invitations

Volunteer Coordinator All team members – Encourage and track all opportunities for involvement at the regional level – Track all volunteers engaged at the regional level Business Manager – Submit any budget requests for volunteer gifts or recognitions Communications / Web and Social Media / Membership Coordinators – Ensure volunteer opportunities are promoted through communications, website, and membership messages Inclusivity Coordinator – Collaborate in ensuring fair access to volunteering for diverse audiences Awards and Scholarships Coordinator – Collaborate on recruitment and recognition efforts Regional Conference Coordinator – Develops and implements a volunteer recognition program at the regional conference

Awards and Scholarships Coordinator All team members – Solicit applications/nominations for awards and scholarships Business Manager – Submit budget requests for awards – Process scholarship fulfillment for program registrations Communications / Web and Social Media / Membership Coordinators – Ensure awards/scholarships opportunities are promoted through communications, website, and membership messages Volunteer Coordinator – Collaborate on recruitment and recognition efforts Regional Conference / Educational Programs Coordinators – Coordinate awards presentations at the regional conference – If applicable, notify program planners of scholarship recipients attending the program

Regional Conference Coordinator Student Regional Director – Organize and facilitate a meeting for students at regional conference Business Manager – Create the budget for the conference Communications / Web and Social Media Coordinators – Plan all communication pieces associated with regional conference – Promote the regional conference through web and social media outlets – Maintain all sections of the regional website Corporate Partnerships Coordinator – Oversees the planning of exhibit and sponsorships opportunities at regional events Membership Coordinator – Develop and implement a newcomers program at the regional conference, to include pertinent information on ACUI and ways to get involved Volunteer / Awards and Scholarships Coordinators – Develop and implement a volunteer recognition program at the regional conference – Communicate with nominee/applicants to encourage them to attend the regional conference Educational Programs Coordinators – Collaborates with team members on developing the content of educational sessions

Educational Programs Coordinator Student Regional Director – Brainstorm ways to increase student participation and create face to face programs that can best relate to students Business Manager – Create budgets for face to face programs Communications / Web and Social Media Coordinators – Create advertisements, marketing, and website information for educational programs in the region Corporate Partnerships Coordinator – Develop potential sponsorship opportunities for educational programs within region Inclusivity Coordinator – Work to develop diverse and inclusive programs that fit the needs of all members within the region Membership Coordinator – Work to make sure nonmembers are invited to face to face programs Volunteer / Awards and Scholarships Coordinators – Work to market and communicate potential volunteer opportunities to serve on educational team or face to face planning teams – Make sure that if there are award recipients that they get notified and recognized at the educational program Regional Conference / Online Learning Coordinators – Help the education program coordinator on the conference planning team to develop overall education for conference. – Work do develop an educational plan for the region and develop content for programs

Online Learning Coordinator Student Regional Director – Brainstorm ways to increase student participation and create online programs that can best relate to students Communications / Web and Social Media Coordinators – Create advertisements, marketing, and website information for educational programs in the region Volunteer Coordinator – Work to market and communicate potential volunteer opportunities to be involved with online learning Educational Programs Coordinator – Work do develop an educational plan for the region and develop content for programs
