2 How do I: Report a new member to the district? Update a current member’s contact information? Remove a former member from the record? Report a change in our club’s meeting location? Report our monthly attendance? Easily contact every member in my club? Or another Rotarian in the District?

3 Step 1: Click here

4 If you have NEVER logged in to the district website, click here:

5 You can then select your club, type in your last name, and your email address and your temporary login name and password will be emailed to you. * If you still have trouble, please contact PDG Jim Fitzgerald, DG John Jetter, or DGN Randi Duckworth. We are here to help you!

6 Step 2: Log in YOUR user name YOUR password WPSecretary

7 . Once logged in, this is what you will see. It is under the “ADMIN” tab

8 Please note, you have access to the areas in BLUE:

9 Your club just inducted a new member, let’s add his/her information to the district’s records: Click here:

11 Then you can add the new member’s contact information

12 YOU can also give the new member a temporary login name and password. For example: Login name: Firstname.Lastname Password: Your club’s Id. Number Click on “Save” to finish

13 A current member has a new phone number. How do I update his information ?

14 Click here: Find the member’s name, click the ‘edit’ tab.

15 You can then update the member’s contact information. Better yet, train your club members to update their own information!

16 One of your favorite club mates has become very successful in her company. Which means, she was just transferred to another office that is not in the district and can longer be a member of your club. How do you remove former members from the district records?

18 Find the member’s name, click the ‘Mark EX’ tab.

19 You can then enter the date the member was removed from the club’s records.

20 Your club changed its meeting location. Let’s update this change in the District’s records.

22 Now you can change your meeting location, time, etc.

23 Want to make the District Governor REALLY happy???? Update your club officer list for the district. Why is this so important? District information can be more easily shared with the proper officer in the club, rather than going through YOU. What does that mean? An example: The district Foundation Chair can send information directly to your club’s Foundation Chair, rather than sending it to you, requesting that you then forwarded the info to the proper chairperson.

24 Just click on this tab:

25 Change who holds the office by clicking on “edit”. A pull-down menu then appears and you can click on the member who will serve in that office. If your feeling really motivated, upload your officer’s photo here.

26 You can also define next year’s officers or directors. Just click on this tab:

27 If your club changes its structure, you will have to define the position in the current year, before you can define it for the next year.

28 Let’s talk ATTENDANCE REPORTS!! Oh boy, oh boy, oh boy!! Can’t wait!?

29 It’s the 14 th of the month, the attendance is due tomorrow! How do I report it? No need to panic, click here:

30 Just fill in the 5 blanks and click ‘Save’. You’re through until next month!

31 Is your club having a fund-raiser and you need to send an email to all club members? Or, would you like to invite fellow Rotarians from around the district to come participate in your annual golf tournament? Have we got deal for you!

32 With the district website, you can easily create a mass email without the risk of spam blockers. You can send information to a select few, or as many in the district as you would like.

33 Click here:

34 Let’s create a distribution list for your entire club. You can easily send the message to every member in your club that has an email address listed in the district information. Click here first to create a list:

35 As you can see, some lists have already been created. (District committees, for example.) Let’s add a new list for you. Click here:

36 First, give your list a name. Be sure to save it.

37 Now, let’s add members to the list... Click here

38 Next click here :

39 Select your club name, then click on “next”. Your list of club members will appear in this box.

40 To add all of your club’s members, click on the first name, then hold the shift key and highlight every name in the list.

41 ClubRunner automatically adds the members to the list, so you don’t have to click on each individual member’s name to add him/her to your list. Click on save and you will go back to the email distribution list page.

42 Your new list is now added !

43 Now that we have a list, let’s send out an email to everyone in it. Go back to the Email Message Services tab, then click here.

44 Give your message subject a title. Type your message and “Save”.

45 Next, decide who you will send the email to by clicking on here:

46 Then you can send it to other district Rotarians

47 Or, to your club in the list that you just created

48 You can also print or view the District Directory. Or, print forms that you may need to complete for District programs, such the application for the District Simplified Grant.

51 We need your help in keeping club and district records current. The ClubRunner system for our district website has made maintaining our records easy.
