2 This presentation will help you familiarize yourself with the functions of Member Access. Throughout this presentation, you can enter the live rotary.org Web site. To return, click the Back button in your Web navigation toolbar.

3 Menu Learn how to register on Member Access and about the functions available to you. Learn about the extra Member Access functions for club presidents and secretaries. 4 Location of Member Access Member Access can be found on the RI home page, www.rotary.org. www.rotary.org

5 Member Access Functions Using Member Access, Rotarians can: Contribute to The Rotary Foundation. View personal contributions to The Rotary Foundation. Manage e-mail subscriptions. Register for meetings.

6 Registration Registration for Member Access is a three part process: 1.Enter a valid e-mail address and your contact information. 2.Validate the e-mail address by clicking on the hyperlink in the e-mail sent to you from Member Access. 3.Complete the online registration form and create your password. Registration usually takes 24 hours to process.

7 Login Screen Registration for new users. new users Login for returning users. returning users

8 Registration: Step 1 Enter and confirm email address. Press submit.

9 Registration Form The next step is providing the following information: Email address Name Address Phone Number Language Rotary affiliation

10 Registration: Step 2 The second step is validating your email address. Click on the hyperlink in the e-mail sent to you by Member Access.

11 Registration: Step 3 The last step is creating your security profile (password and secret question) which are used to verify your identity and allow you to manage your account.

12 Changing Login Information Click on the Change Password link to change your password. Click on the My Profile link to change your login e-mail address or secret question and answer.

13 Frequently Asked Questions For help while you are using Member Access, click on Frequently Asked Questions section.

14 Main Screen All Member Access navigation options are displayed in the green highlighted box on the left-hand side of the screen.

15 Rotary Foundation Contributions Rotarians can contribute online to The Rotary Foundation using a credit card.

16 View Your Contribution History Rotarians can view the history of their contributions to The Rotary Foundation, including Paul Harris Fellow and Major Donor status.

17 Manage E-mail Subscriptions Rotarians can choose the categories of e-mail correspondence they would like to receive. This screen also shows the e-mail address to which subscriptions are sent and the option to update it.

18 Register for Meetings Select the meeting you wish to register for and follow the prompts to complete your registration.

21 Club Officer Functions With Member Access, club presidents and secretaries can View and change club membership data. Pay club dues. Search club and district data. Update club data. View reports of Rotary Foundation contributions.

22 Main Screen Club presidents and secretaries have additional navigation options. These are displayed in the green highlighted box on the left-hand side of the screen.

23 Update Membership Data Download a list of club members to your computer. View terminated members. View Rotary Foundation and membership reports. Add members to your club. View and edit individual records. View and edit club data (meeting details and club officers).

24 View Membership Data This view shows The name and contact information for each member Committee participation Offices held Membership details

25 Edit Membership Data The edit function allows you to change Contact information Member information

26 Add Members When adding a new member to your club, search for that member first to avoid duplicates. If the new member is not a transferring Rotarian, click continue.

27 Terminate Members When terminating a member from your club, use the drop down boxes to indicate Reason Date

28 Pay Club Dues You can view your club’s semiannual report and pay club dues using a credit card.

29 Search Club and District Data The online version of the Official Directory allows you to View current committees and task forces. View the RI Board of Directors and The Rotary Foundation Trustees. Search for club and district information.

30 Update Club Data Use the Club Data Form to change your club’s Meeting day Meeting time Meeting location Other details

31 Update Club Officer Information Click ‘Add’ to enter current and incoming officers. Use ‘Edit’ to choose the end date of an officers’ term. Click ‘Remove’ to remove an officer. After installing club officers, you must update their contact information such as addresses, phone, and e- mail. This contact information will be used for all RI mailings.

32 View Club Recognition Summary A Club Recognition Summary (CRS) report shows contributions to The Rotary Foundation for all club members and other donors. The district governor also has access to this report.

33 View Monthly Contribution Reports A Monthly Contribution Report (MCR) shows Rotary Foundation contribution information for all clubs in your district. The district governor also has access to this report.

39 District Governors Forum The District Governors Forum allows you to Read news Check dates Participate in discussions Download documents Search contact information for your class of governors As governor-elect, access information on the International Assembly and spouses training.

40 View Club Recognition Summaries A Club Recognition Summary (CRS) report shows contributions to The Rotary Foundation for all club members and other donors. Retrieve a list of Rotarians for each club who are Paul Harris Fellows and Benefactors.

41 View Monthly Contribution Reports A Monthly Contribution Report (MCR) shows Rotary Foundation contribution information for all clubs in your district. Use these reports to help club presidents- elect set club Foundation giving goals.

42 View Incoming Officers View a list of incoming club presidents and secretaries in your district for mailing and contact information. This summary will indicate which clubs haven’t reported their officers for publishing in the Official Directory.

43 Review Club Data This information will help you identify smaller clubs in need of additional support from the district or locations where new clubs could be organized. View club charter dates, current membership data, including active or terminated club statuses, for all clubs in your district.

44 View Membership Histories This summary indicates which clubs need to submit their semi- annual report (SAR) to RI. Identify clubs with declining membership and provide extra support to rebuild their membership base. Use this summary to help club presidents-elect draft membership goals for their year.
