Letterhead The pre-printed paper business letters are printed on. Contains the return address as well as the company emblem or symbol.

Dateline Key the month, day, and year.

Letter (Inside) Address The letter or inside address is the address of the person to whom you are sending the letter. A personal title (Miss, Mr., Mrs., Ms.) or a professional title (Dr., Lt., Senator) is typically used before the receiver’s name.

Salutation (Greeting) The salutation is a greeting usually composed of Dear and the person’s name. If the person’s name is not known, To Whom it May Concern or Dear Sir or Madam is appropriate.

Body Begin the letter body below the salutation. Single space and block the paragraphs with a double space between paragraphs.

Complementary Close The complementary close is a sincere farewell from the author of the letter before the signature. Sincerely, Yours Truly, and others. Do not type the signature, it is to be signed in blue or black ink.

Writer ID Key the name of the writer quadruple spaced below the complimentary close. The name may be preceded by a personal title for identification purposes. A job title or department name may be keyed on the line with the writer’s name, separated by a comma; or it may be keyed on the next line at the left margin.

Reference Initials Reference initials are used if someone other than the author typed the letter. Reference initials are to be formatted in lowercase with no spaces and no periods. jv Enclosure Notation If another document is attached to a letter, the enclosure notation is written to tell the reader to look for it.

12 Special Parts of a Business Letter
Attention Line If a letter is addressed to a company, the address may include an attention line to call the letter to the attention of a department or a job title. Subject Line Sometimes a subject line is used to alert the reader immediately to the content of a letter. A subject line is keyed in ALL CAPS.
