1 UNIT 3: DOCUMENT FORMATTING 1. Addressee – The person to whom you are sending the memorandum. 2. Attachment notation – Indicates that another document is attached to a letter. 3. Block format – all parts of a letter or memorandum (including paragraphs) begin at the left margin. 4. Body – the paragraphs that make up the main message of a letter or memorandum.

2 5. Complimentary close – the closing or the farewell of a letter. 6. E-mail – an electronic message used by individuals to communicate with one another. 7. Enclosure notation – indicates that another document is enclosed with a letter. 8. Hard return – pressing the Enter or Return key to force the insertion point to the next line. 9. Letter address – the address to which the letter is being sent.

3 10. Memorandum (memo) – a written message used by individuals within and organization to communicate with one another. 11. Mixed punctuation – a punctuation style for letters in which a colon follows the salutation (greetings) and a comma follows the complimentary close (farewell). 12.Open punctuation – a punctuation style for letters in which there is no punctuation following the salutation greetings) and complimentary close (farewell) of a letter. 13. Proofreader’s marks – symbols used to indicate errors that need correcting when re-keying a document.

4 14. Reference initials – the initials of the person that types (keys) a document. 15. Return address – the address of the person sending a letter 16. Salutation – the greetings of a letter 17.Soft return – when text automatically wraps (goes) to the next line (meaning that you do not press enter to get to the next line) 18.Writer – the author of the document. 19.Subject line – alerts the reader immediately to the content of the document.
