Add New Internal Contacts To search for internal contacts, type the person’s first name, last name, or e-mail alias in the Find box. Use Microsoft Office Communicator 2005 to send and receive secure Instant Messages (IM) with your Microsoft Exchange Server 2003, MSN, AOL, and Yahoo! contacts. You can also view schedule information for your internal contacts, and see their Microsoft Outlook® Out Of Office Assistant messages without sending them a message. Using this guide you will learn how to install Office Communicator 2005, manage your contacts, change your status, start conversations, and work with files. 1 2 Note You may place a contact in as many groups as you want. In the Find results window, right-click the arrow to the right of the contact name. Click Add to Contact List, and then click the name of the group in which you want to add the new contact. Click Start>Control Panel>Add or Remove Programs, and then click Add New Programs. Click Microsoft Office Communicator 2005, and then click Add. 2 1 2 3 4 Click Contacts, and then click Add a Contact. Select By e-mail address or sign-in name, and then click Next. Type the appropriate e-mail address, and then click Next. In the Add new contact to this group: drop-down list box, select the appropriate group, and then click Finish. Add New External Contacts On the Contacts menu, click Create New Group. In the Contacts list, type the name of the new group over the highlighted text New Group. 1 2 Group Contacts Install Office Communicator 2005 1 2 1 2 On the Contacts menu, select Rename a group. Click a group and type the new name for the group. Rename a Contact Group In the Communicator window, under Contacts, right-click the contact name, and then click Move Contact To. Click the group in which you want the contact. Move Contacts 1 Note You may also start an IM conversation from the Find box without adding the person to your contact list. Double-click the contact name and a new conversation window will launch. Note You may also drag and drop contacts between groups. Note This procedure requires that Office Communicator 2005 is available on your network.

If you are using Microsoft Exchange and Microsoft Outlook in your environment, your default status is determined by your free/busy time in Outlook. If you are too busy to participate in an IM conversation, you can manually change your status to Busy. Type your message in the box at the bottom of the window, and then click Send. 1 1 2 In the Conversation window, on the Actions menu, click Invite Someone to Join this Conversation. In the Invite Someone to Join this Conversation window, click the contact you want to add to the conversation, and then click OK. Start a New Conversation Add Others Contacts to Your Conversation Manually Change Your Status 1 2 In the status area of the Office Communicator 2005 window, click your name. In the menu, click one of the status options. To set a note to be displayed next to your status in Office Communicator 2005, click Set Note at the bottom of the status area. Your active Outlook Out of Office Assistant message will automatically be displayed by your name. Notes To start a new line while typing, press SHIFT+ENTER. You can not add an active link to an IM conversation. This functionality has been turned off to prevent the spread of viruses. Up to 32 people may participate in the same IM conversation. Anyone involved in the conversation may invite another participant to join the conversation. Send a File In the Conversation window on the Actions menu, click Send a File. Select a file, and then click Open. The file is sent to the recipient. The message, “Waiting for to accept” appears in the conversation window. 1 2 Open a File Sent to You When a file is sent to you, you may open it immediately by clicking the link in the Conversation window. Important A file sent to you may contain a virus. If the file came from someone you know, confirm the validity of the file with the sender before opening the file. If the file came from someone you don’t recognize, do not open it. Because files are encrypted, you can only send and receive files with other Office Communicator 2005 users. 3 2 Note You may only invite multiple contacts to join a conversation if they are using Office Communicator 2005. In the Find field of Office Communicator 2005, type the name of the person you would like to contact. When the correct name appears in the results area, double-click the name. Or In your Contact list, double-click the name of someone who is online. To start a new conversation:
