About Remote Access Service (RAS) Microsoft Outlook Web Access (OWA) enables secure access to your corporate e-mail over the Web using any computer or device with Internet access. OWA is a full-featured Web application that provides an experience similar to the computer-based version of Outlook 2003. Topics in this guide: Create an Out-of-Office Message Use the Scheduling Assistant for Meetings Use Conversation View to Group Messages Find Messages by Searching for Key Words Reset Your UM Voice Mail PIN Customize Your OWA Wipe All Data on a Mobile Device Remotely Create an Out-of-Office Message It is standard practice to create an Out-of-Office message (an OOF message) to reply to incoming e-mail when you are away from the office. 1 2 On the OWA toolbar, click Options. 3 5 When you have finished, at the top of the window, click Save. To exit the Options page, click a button at the bottom of the navigation pane. In the Out of Office Assistant window, click Send Out of Office auto-replies, and then do one of the following: Your auto-reply will be sent to incoming messages—one reply to each sender—until you turn off the Out of Office Assistant, or until the end of your selected time period. To create an auto-reply for immediate use, type a message in the text box provided. To create an auto-reply for a particular period of time, select the Send Out of Office auto-replies only during this time period check box, pick a start time and end time, and then type a message in the text box provided. To create an additional auto-reply for senders outside Microsoft, select the Send Out of Office auto-replies to External Senders check box, click an option, and then type a message in the text box provided. 4 This creates an auto-reply for senders inside Microsoft. In the Options navigation pane, click Out of Office Assistant. Note This guide includes functionality available only to those with mailboxes on servers running Exchange 2007. To see if this guide applies to you, check with your E-mail administrator.

Use the Scheduling Assistant for Meetings The Scheduling Assistant provides automatic suggestions for meeting times and places. After you select your attendees and possible conference rooms, use the Suggested Times pane to make your final selection of time and place. In Calendar view, click New. 1 2 On the Scheduling Assistant tab, in the Suggested Times pane: 6 In the Untitled Appointment window, type a subject for your meeting and enter an initial date and time. This date and time may change later, based on suggestions given by the Scheduling Assistant. Click OK. 5 To see the best meeting options, click a date highlighted in white in the Date Navigator. Suggested times appear in the lower half of the pane. To see availability of attendees and rooms for the selected date based on length of meeting, select different periods from the Duration list. Suggested times appear in the lower half of the pane. To see best available times and places, review suggestions at the bottom of the pane. Best suggestions appear first. When you click a suggestion, the main window changes to reflect the choice. 7 On the Appointment tab, in Location, enter your conference room. Type a message for attendees, click Invite Attendees, and then click Send. 3 4 On the Scheduling Assistant tab, click Select Attendees. On the Address Book page, in the Default Global Address List, find your attendees, and then add them to the Required and Optional lines. Click All Rooms. Use the search box to find a room, and then add it to the Resources line. For example, type100, and then click, or press ENTER to find all conference rooms in building 100. Tip Add several conference rooms to create more options. When you decide on a conference room, manually remove rooms you will not use. To do this, under Select Attendees, right-click a room and then click Remove.

Search results appear in the main window. To clear the results list and begin a new search, click. Click, or press ENTER. To specify which folders to search, click at the end of the Search box. To see Advanced Search options, click at the end of the Search box. Use Conversation View to Group Messages To find all replies to a single message, view your messages by conversation. This groups all your e-mail into message “threads.” Find Messages by Searching for Key Words Use OWA Search to quickly find messages or other mail items that contain one or more specific words. You can do a full-text search for specific words on items in Mail, Contacts, and Tasks. In Mail view, click the Arrange By bar near the top of the Inbox, and then click Conversation. Type one or more words in the box near the top of the middle pane. 1 2 Each conversation group is marked with a plus sign. Click the to see all the messages in the conversation. 1 2 3 On the OWA toolbar, click Options. In the Options navigation pane, click Voice Mail. In the main window, under Reset Voice Mail PIN, click Reset Voice Mail PIN. Reset Your UM Voice Mail PIN If you have Exchange 2007 Unified Messaging (UM), you can use OWA to reset your voice mail PIN. 4 In the Reset Voice Mail PIN box, click OK. A new temporary UM Voice Mail PIN is sent to you in e-mail. Use it to access your voice mail on your phone and change the PIN to a new permanent one. 5

All rights reserved. 1 2 On the OWA toolbar, click Options. In the Options navigation pane, click a category. In the main window, choose settings for that category. Customize Your OWA OWA offers many options found in Office Outlook 2007. Use the Options page to customize OWA. The table at right lists some of the most-used options in OWA. To do thisPerform this action Choose a language and date/time format Click Regional Settings. Under Language, select a language from the list. Under Date and Time Formats, choose your options. Create an e-mail signature Click Messaging. Under E-mail Signature, create a signature. To apply the signature to every new message, select the check box. Set spelling optionsClick Spelling. Under Spelling Options and Dictionary Language, choose your options. Set calendar optionsClick Calendar Options. Under Calendar Options, Calendar Work Week, Reminder Options, and Automatic Calendar Processing, choose your options. Change the color scheme Click General Settings. Under Appearance, select a color scheme from the list. Optimize OWA for accessibility Click General Settings. Under Accessibility, select the Use the blind and low vision experience check box. OWA Calendar Options page When you have finished, at the top of the window, click Save. To exit the Options page, click a button at the bottom of the navigation pane. 3

Wipe All Data on a Mobile Device Remotely Any of your mobile devices that have an Exchange partnership automatically appear in your OWA Mobile Devices list. In the event of loss or theft, you can use OWA to wipe all data from such a device. 1 2 On the OWA toolbar, click Options. In the Options navigation pane, click Mobile Devices. In the main window, click the device you want to wipe. Click Wipe All Data from Device. OWA sends a command to the device that wipes all data on it. If the device is turned off when the device wipe command is sent, the command is initiated when the device is turned on again and the first synchronization occurs. 3 4
