This presentation provides an overview of the Microsoft Consolidated Campus Agreement (MCCA) licensing program for the University of California. MCCA 2015 Renewal

3 Microsoft volume licensing options
Select Plus MCCA Perpetual licensing Acquire software licenses as needed Office and Windows products require that you license each computer CALs provide the option to license devices or users Software Assurance is optional Annual subscription licensing running from July 1 – June 30 each year Standardize licensing for all users License your entire FTE faculty + staff count and deploy the software to all users and computers Software Assurance is included Upgrade rights for all products Home use rights for Office VDI rights for Windows E-learning: Self-guided online training License mobility for servers Select Plus Perpetual licenses refer to licenses you own outright. For instance, if you purchased Office Pro Plus 2010 via Select Plus, when you want to upgrade to Office Pro Plus 2013 you will need to purchase Office Pro Plus 2013 licenses. If you purchase Software Assurance* (SA) with the licenses, you will have the rights to upgrade to the latest version of software when it releases so long as your SA coverage is active. MCCA As a subscription program, under MCCA you are leasing the rights to use the software so long as you continue the lease each year. You are granted the rights to use any version of the software licensed including the latest and greatest because all licenses carry Software Assurance (SA). The program requires that you license your entire department’s full-time-equivalent (FTE) faculty + staff count and in doing so, you have the rights to deploy the licensed software to all department owned computers. As an example, suppose you license all 100 FTE in your department but you have over 300 computers – by licensing all of your department’s FTE, you have the rights to deploy the licensed software on all 300+ computers. MCCA is the ideal licensing model for departments that are looking to: Standardize their end user environments on a common platform or set of tools Stay current on technology Simplify software licensing and reduce the overhead of license administration Provide software to students through lab computers, terminals, and kiosks The University of California MCCA subscription runs from July 1 through June 30 each year. New departments can enroll anytime with prorated pricing up to 6 months before the July 1 anniversary date. * Software Assurance is the name of Microsoft’s license maintenance program. It provides upgrade rights to new versions of the software released during the period when you have active SA coverage. It also provides many other benefits listed in the Software Assurance Benefits slide later in this presentation.

Student employees are counted as part-time faculty if they are in academic roles such as a TA. Student employees that are not in academic roles are counted as part-time staff. If your department wants to provide software to students of the department, you can license students through MCCA. Student FTE counts are calculated the same was as Faculty FTE counts: Student FTE Count = Full time students + (Part time students ÷ 3)

Faculty/Staff – requires ordering for the entire faculty + staff FTE count Student – requires ordering for the entire student FTE count Additional Product – ordered as needed Platform products such as the Desktop packages, CAL suites, Office, and Windows require that you license your entire FTE count. Servers products and other applications can be added as needed. There are some products with multiple classifications and they offer different prices based on which method you license them. For these products, if you need them for a certain percentage of your FTE count, it will be more cost effective to license them as Additional Products or licensing them for the entire FTE count. The breakeven points are listed in this slide.

7 SQL Server licensing – Server + CAL vs Per Core
Ideal for non-critical environments with basic workloads and relatively few users All SQL Servers (physical & virtual) need a SQL Server license All users and/or devices that access SQL server directly or access applications that house data in a SQL database will need a SQL Server CAL Per Core Ideal when: There is a large number of users The users are uncountable (external facing workloads) You need highly available mission critical workloads (SQL Server Enterprise) Physical SQL Servers require that you license all cores with a minimum of 4 cores licensed Virtual SQL Servers requires that you license all virtual CPUs with a minimum of 4 cores licensed Gain unlimited virtualization rights by licensing all cores on a physical host server through MCCA SQL Server Edition Licensing Options Server + CAL Per Core Enterprise Business Intelligence Standard

Microsoft support ends July 2015 Sites requiring continued support will need to contract with MS for continued support It would be advantageous to negotiate with MS for coverage of all required UC sites at a reduced cost The IT COE will consolidate all requirements and negotiate with MS on behalf of the UC Enterprise if the following information is provided by April 1: How many Windows 2003 server “instances”* will you require? How long will you need support beyond July 2015? *Instance = any version of the server software, physical or virtual, that is created, stored, or run on a server to which the customer wants to deploy a security update for a particular product.
