1 Interoffice Memorandum

2 Definition Memos (interoffice memorandums) are written messages used by employees within an organization to communicate with one another.

3 Why Are They Written???? To Request Something
To Confirm a Spoken Arrangement To Respond to a memo or request received To Follow –up (by reminding someone of something, updating someone To Conduct Business

4 Just Remember… Keep the main idea in the first paragraph
Neatness counts – no errors in spelling or grammar. Organized in a very specific way following exact format. “Formal English”, no slang or casual chat.

5 Important because… It is your AMBASSADOR. It represents YOU!

6 Chances Are… If it is sloppy or poorly organized, I promise you the receiver will think the same thing about you!!!

7 What does it look like?

8 Page Setup Top Margin(TM)----2 inches Side Margin(SM)—1 inch
Bottom Margin(BM) –about 1 inch

9 Memo Heading TO: Tab twice to key FROM: Tab once to key
DATE: Tab twice to key date SUBJECT: Tab once to key subject in ALL CAPS

10 MEMO BODY All paragraphs begin at the Left margin. They are single spaced (SS) with double space (DS) the between paragraphs.

11 REFERENCE INTIALS If someone other than the ORGINATOR of the memo keys it, his/her initials are keyed in LOWERCASE LETTERS at the left margin, a DS below the body.

12 Attachment/Enclosure Notation
If another document is attached to the memo, than the word ATTACHMENT is keyed at the LEFT margin a DS below the reference initials. If the document accompanies the memo but is not attached to it, key the word ENCLOSURE.
