It Takes a Village to Raise an Integrated System Marianne Colgrove Jennie McKee Nora McLaughlin Reed College

First Steps Funding Opportunity User-centric approach Not a “technology” project A (funded) planning phase is invaluable Analysis of total project costs

Themes There ARE advantages to being small Buy vs. Build Information Gateway vs. Portal Collaboration breeds collaboration Flexible collaboration important

Collaboration can sometimes be a little strained...

…but it doesn’t mean moving in lockstep...

…or hanging on for dear life together...

Successful Collaboration!

Projects Student Information Project Information for faculty and students about students Developed in collaboration with Occidental College Course Materials Support System Expansion of the electronic reserves module Student Web Project One-stop web page guide to resources Authentication and Network Issues Commitment to central authentication solution

Student Information Project Enrollment data for faculty, library and bookstore Student address and schedule information for faculty and staff Student advising information for faculty, staff and (eventually) students Student registration Evaluation of degree progress for students and advisors Budget detail for budget managers

Student Information Project Participants Faculty Registrar’s Office Staff from the bookstore, community safety, library, student services and faculty secretaries Student suggestions

Course Materials Support System One stop page for faculty to enter course materials information for: –Bookstore –Copyright Clearance –Course packs –Electronic Syllabi –Reserves One place for students to find information on course materials and syllabi

Course Materials Support System Participants Bookstore Computer Services Faculty and Academic Staff Instructional Technology Library Printing Services Registrar’s Office

Student Web Project Participants Academic Computer Services Administrative Computer Services Instructional Technology Library Registrar’s Office Students Student Services

Authentication and Network Issues Related Concerns Ensure data integrity, confidentiality & license compliance Integration of authentication with all campus systems Access to resources for authorized users from off campus on third party ISPs.

Outcomes User-centered systems–more constituents have ready access to more information Shared decision-making resulted in better solutions Shared authentication system for library and student information resources Extended the collaboration to include Occidental College

Outcomes “Build vs. Buy” –We lost our web programmer, slowing the project somewhat –Occidental College offered their assistance in the interim –Newly developed web expertise is utilized for applications beyond this project Faculty view this as a resource they didn’t have to request

Future Plans Extending the inter-institution collaboration both in scope and in partners: Swarthmore and Vassar Developing a college-wide authentication system Library and student information applications are moving toward integration

Relevance to Others Augments and enhances limited resources both inter- and intra-institutionally Shared decision-making and collaboration, while culture-dependent, result in better solutions and systems
