.175/ CEDARS Finding the Data 1. Log on to the EDS website. Choose My Applications/Core Student Records System/Submissions. 2. In the lower left-hand corner of this screen, choose the CEDARS Data Submission link - this will take you to the "test" area login screen. 3. Log into the "test" CEDARS database - you should have a separate login for this screen that must be obtained from OSPI. 4. Choose Reports from the menu options at the top of the screen. 5. Click on Submission Errors at the left of the screen.

.175/ CEDARS Finding the Data 6.A list of Table Names will appear. NOTE: Student Bilingual, Student Special Education, Student Program, and Student Grade History are not being reviewed at this time, thus you may ignore those errors.

.175/ CEDARS Finding the Data 7. The error logs mentioned above will contain references to Staff and Student ID numbers that you cannot identify just by looking at the error messages. To identify these Staff and Students, you will need to go back to review your "source" data files, which cannot be found on the EDS website. These "source" files are stored on your Export drive in WESPaC/Citrix. 8. On your Citrix desktop, double click on the ESD101-MF- ## icon. Double click on your Export (X) drive.

.175/ CEDARS Finding the Data 9. In your export drive, look for folders with little zippers on them. The folders are named: DistrictNumber_0000_CEDARS_YearMonthDay.ZIP Right click on that file and choose Extract All from the resulting menu. An Extraction Wizard will walk you through the few steps necessary to unzip the files and will save them into a new folder that will be created in your Export drive. The name of this folder will include the date of the extract from WSIPC. 10. After clicking Finish on the Wizard, you will see 11 text files listed on your screen. Find the file that has your errors, Staff, Location, etc.

.175/ CEDARS Finding the Data 11. To open a file to review the data, right click on it and choose Open With/Choose Program from the resulting menu. Within the box that appears, choose Microsoft Excel. Locate your errors. 12.Errors cannot be corrected on EDS or in the source files; errors must corrected in WESPaC. WSIPC will be publishing a schedule for the next extracts in alignment with the OPSI schedule. There will be one ‘preliminary’ extract and one final for each OSPI designated date. Remember: The goal is for all of us to maintain as accurate data as possible.

Juli

.175/ CEDARS Find Teacher’s Meets

.175/ CEDARS frequency for.175 Extract As Required by OSPI WSIPC will be publishing a schedule –As soon as OSPI establishes their schedule There will be one preliminary extract prior to the final extract Expect the frequencies to be adjusted

.175/ CEDARS Overview of ESD Errors Detailed instructions are included in the October 2008 VTC. –Get the CEDARS Data Correction Manual –Teacher Certification # Rules –Finding the errors in EDS –File Order to troubleshoot errors

WA Transcript HECB What the heck is HECB? HECB is an acronym for the Washington Higher Education Coordinating Board The HECB determines the minimum requirements for students planning to seek admission to public baccalaureate institutions in the State of Washington (4 year colleges and universities) These requirements include: Minimum course credits in 6 subject areas Minimum SAT or ACT Scores Minimum GPA Today we will focus on the Minimum course credits in the 6 subject areas

WA Transcript HECB New College Admission Requirements for the Class of 2012 were approved by the HECB in 2007 (WAC) Standardized high school transcripts must include a “B” designation for courses that meet or satisfy HECB core course requirements. Under the revised minimum college admission standards, the “core course” requirements are renamed College Academic Distribution Requirements (CADR). It is the responsibility of each school district to determine which of their high school courses meet CADR guidelines and to ensure that the “B” designations are made on their respective students transcripts.

WA Transcript HECB College Academic Distribution Requirements CADR should not be confused with high school graduation requirements. CADR are more rigorous than the high school graduation requirements, which are determined by the State Board of Education and the local school district. Detailed information can be found at:

WA Transcript HECB 6 Subject Areas 4 credits of English –Passing the 10 th Grade WASL-Reading is equivalent to earning the first 2 CADR credits for English. 3 credits of Math - Passing the 10 th Grade WASL-Math is equivalent to earning the first 2 CADR credits for Math. Math Senior Year – Students must earn 1 credit of Math during their senior year (this does not mean a 4 th credit of Math is required). 2 Credits of Laboratory Science – This requirement takes effect for the class of Credits of Language - World Language, Native American Language, or American Sign Language. 3 Credits of Social Science – History or Social Science. 1 Credit of Fine Art – There are fairly rigid guidelines on what is acceptable and what is not acceptable in this subject area.

Starting with the class of 2012, if a transfer student has a HECB designator on their transcript, that course must also include the HECB designator when you enter the PSA (prior school attended) courses into history. This means that you will need to begin creating a new set of transfer courses that have the HECB designator box checked. If you currently have transfer courses named TRF???, we suggest you use TRB??? Where the number is the same for both types of transfer courses. In the above example the district uses TRF104 for Transfer Fine Art. The equivalent course with a HECB designator would be TRB104. This is only a suggestion. Use a naming convention that makes sense to you. If a transfer student does not have an HECB designator on their transcript, that course must not include the HECB designator when you enter the PSA courses into history. In some cases it may be prudent to contact the sending district and find out if the course should have included the HECB designator. Note: It is ok to show the HECB designation on transcripts for students in the classes of 2009 – 2011, but it is required for the class of 2012 and beyond.
