PART 1: WIMBA FEATURES

Let’s Review Our Wimba Tools: These buttons indicate “Yes” or “No ” Click this icon to “raise your hand” The Pointer tool helps to “claim your real estate on the screen” lets everyone know where someone is about to type. Click on the big “T” tool to type on the screen. Make sure to hit the enter button to make the text appear. Type your message in the chat box and press enter. You can send message to everyone in the “Main Room” or your can use the drop down box to send to an individual.

What is Horizon Wimba? Horizon Wimba is collaborative software that allows users to learn and meet online System uses voice-over IP (internet audio) which requires a headset with a microphone, but, we won’t tie up a phone line! Similar software – WebEx, NetMeeting, Adobe Breeze

It’s all about Communication Feel free to chat – use the drop down box to send to the “Main Room” or to a specific participant: Raise your hand to talk: Use the Check / X buttons to poll participants:

White Board Tool Bar looks similar to Paint programs Use the “Pointer” tool to mark spot on screen The “T” tool to type on the screen Circle tool / Line tool Beware the “Erase” button, it erases the entire screen

Uploading Slides First, click this button found on the right hand side of the screen

Uploading Slides (part 2) A new window will appear Next, click browse button to search your files

Sharing Websites Click the Web button to launch a website for the entire group – A pop-up window will appear, type in the web address and select how you’d like the site to appear

Application Share You can share control of the cursor Select the name of the user and how you’d like the content to display (within the same window or a new window)

Archive Feature Click this button to archive your meeting: A new window will appear verifying you want to archive. Click ok to continue. You can access archives by going to the lobby and clicking on the Archive tab.

Video Wimba has video Participants can click on Options to change their bandwidth Has not been tested per se, but you can try it Suggest you use it one way first – you’ll need a web cam If you want your group to try it, they will need web cams Newest Wimba version allows full screen video. Each user can also resize their video screens to suite themselves Just plug in your web cam and click on Video icon to use it!

Best Practices Remind participants to run the Set-up Wizard Send out a reminder the week before and day before meeting Have conference call phone number available Producer, if possible Start off with an audio check! Start and end your meeting on time Hold meetings for one - two hours at most Meetings longer than one hour must include a break Encourage communication – let folks communicate the way they want to; encourage side conversations in text chat before class starts

PART 2: ROLES

Coordinator (Nini) Find producers Reserve meeting rooms Market program Register participants Send participants and facilitators login info Send reminders for first session (week before and day before) Set up blog/wiki on Merlin for sharing and resources Develops evaluation link Coordinates facilitator check-in meetings

Facilitator (you) Develop slide set Develop any handouts, resources (IF necessary) Touch base with your producer so s/he knows what you need Facilitate each meeting Communicate any issues with Coordinator (Nini) Share learnings and hows its goings with Maryland Vision Quest team via mdvisionquest listserv and check-in meetings Send follow-up to participants after each session including evaluation link and archive link as needed (we need to decide about these at debrief meeting) Send reminders to participants for each session (except first). These should include login link.

PART 3: DEVELOP TRAINING

Develop Slide Set You need a PowerPoint slide set for each of your Wimba sessions. Doesn’t need to be fancy – white slides work fine. We can decide if we want to brand as a group, though. Pictures and photos are pleasing. Too much text is not. If you want to add notes, you can, but you should print out so you have them. The first slide should be the Audio Check slide – Nini will send it to you.

Add Instructions It is easiest to add instructions to your slides. For example, if you want participants to answer your question in text chat, say so. If you want them to write on the white board, say so. Remind them how to do it. If you don’t add instructions to your slides, add them to your Notes and provide the slide set to your producer and let them know that instructions are in the notes. You can ask your producer to do things for you, such as: –Producer: Launch web browse to site: –Producer: Copy responses in text chat to white board (eboard) –Producer: Check mark items as facilitator discusses them

How to decide what to use X and Check – Use for polling – opinions. Great start to a discussion. Text chat – easy, personal, great for warming up group to discussion White board (eboard) – anonymous (unless you ask for their initials), can see lots of responses together Hand raise – Use for voice discussion – when text isn’t enough. Always good to debrief text chat and whiteboard with voice discussion.

How to decide what to use – part 2 Web Browse – Share websites App Share – Show how to navigate through a website (your producer knows how to do this) Break Out Rooms – Group work for 2 or more Text Chat with another person – Remember you can achieve group work by asking participants to text chat together rather than using main text chat room

PART 3: HOW TO FACILITATE ONLINE

Overwhelm If you are shaking the first few times out of the gate, join the club! Focus on your slides and whatever tool you are instructing participants to use Glance at hand raise when you can – someone may have a question Glance at text chat when you can – your producer may be communicating with you

Overwhelm – part 2 Don’t try to read all of the text chat – ignore most of it until you get used to Wimba Tag team – 2 facilitators per group: one can talk/lead discussion while the other is monitoring text chat and answering questions in text chat. The other facilitator can also raise their hand if they want to point out something important that the leader is not picking up on

Facilitation Tips Communicate the way you always do, but remember that there is a slight audio delay so you may not get as quick of a response Wait a little after you give an instruction because people need more time that in a classroom to respond Always provide instructions on how to use the tools – don’t just say “let’s hear from you”, say “let’s hear from you – click on the hand icon to raise your hand

Facilitation Tips – part 2 If your group does lots of voice discussion, you can teach them how to monitor their own que – rather than calling on each as they raise their hand, tell them to talk whenever they are first in the que If you are going to talk lots, choose Options > Lock Talk to talk. Then remember to turn it off. Or use the phone.
