Capturing AIAA Best Practices Discussed approaches to capturing best practices from AIAA TCs, PCs, Conference Chairs, and more Recommendation: Set up a prototype group on Linked In to provide a location to begin capturing ideas, articles, etc. (No expense - Simple to create) Transition to something within the AIAA website or other structure as appropriate and when funding is available AIAA Marketing has agreed to assist in getting this new effort started by setting up the Linked In group Provides a location for AIAA members to submit materials and begins to get them thinking about this 4

Brainstorming of approaches to improving our engagement with young professionals and students Discussed the current prototype AIAA mentoring program about to be proposed at four locations around the country with local section support Discussed more effectively utilizing YPs currently active in AIAA committees Discussed an AIAA 101 session offered at AIAA Forums to help educate all on the breadth of opportunities for engagement within AIAA 5 Engaging Young Professionals and Growing the Next Generation of AIAA Leadership

Discussed the need for a better defined value proposition – What Does AIAA Mean To You? Discussed comparing AIAA approaches in this area with those taken by other technical societies Discussed the need for improved communication between local sections, regions, and the committees and other organizations operating at the national and international level Recommendation: Form a committee to build a strategic plan for engagement in this critical area 6 Engaging Young Professionals and Growing the Next Generation of AIAA Leadership

Proposed Name / Scope Change for Sensor Sys. TC NIS previously recommended to TAC approval of Sensor Systems TC proposed name and scope change  Sensor Systems  Sensor Sys. & Info. Fusion  New scope addresses all aspects of sensor systems and distributed sensor networks for detection, collection, info. fusion, storage, retrieval, distribution, and reception of information at the local sensing node and at the distributed sensor network level. TAC asked for TC/PC coordination prior to approval Coordination completed (15 responses - 13 with no issues; 2 with concerns now addressed) Recommendation: Approval and Implementation 7

NEM Enhancement - NEM Forum Guidelines NIS Recommendation to TAC Approved (Jan. 2013):  Standardized the Terminology, Length of abstract, Format, Review Process, and No Paper/No Podium and No Podium/No Paper requirements Follow-on Focus Areas for NIS on this Topic per TAC Request: 1.Develop guidelines for the abstract review process 2.Consider a range and guideline for applying a standard acceptance/rejection rate range (e.g. 80% acceptance with 60% paper, 20% poster, 20% rejection) 3.Develop a consistent approach to how poster sessions are handled (both traditional paper and electronic posters) 8

NEM Enhancement - NEM Forum Guidelines Develop guidelines for the abstract review process Consider a range and guideline for applying a standard acceptance/rejection rate range  Summary of recommendations: –Quantitative criteria (equal weight): tech quality, importance to field, originality, potential, and conciseness –Preferably three peer reviewers assigned for each paper, with a check for score consistency by organizing chairs »Papers with a score < 50% are rejected »Papers with a score between 50% and 75% require extensive work and re-review »Papers with a score > 75% are accepted  Track chairs and up free to override limits for max flexibility 9

NEM Enhancement - NEM Forum Guidelines Develop a consistent approach to how poster sessions are handled (both traditional paper and electronic posters)  Summary of recommendations: –Eliminate “poster sessions” - Re-package these sessions as new “interactive sessions” under the NEM –Key parameters defining “interactive sessions”: »Sessions allowing interactive dialog and one-on-one discussions »Sessions allowing dynamic demonstration of capabilities »Electronic display capabilities provided as appropriate »Sessions held in high traffic areas (exhibit halls, special receptions, alternated with best paper awards presentations) »Appointments with the author possible for in-depth discussions 10

NEM Enhancement - NEM Forum Guidelines Develop a consistent approach to how poster sessions are handled (continued)  Summary of recommendations (continued): –Submitted through ScholarOne, abstract reviewed, and paper produced, just as any other candidate submission –Archived with the ability to be referenced in the AIAA archives, just as any other candidate submission –Special targeted invitations to the forums, just as other invited speakers, w/ registration payment expected –These are just another type of forum session for those topics / presentations best suited for this approach Roll out approach: Brief TC / PCs, offer training, forum presentations, & spread the word as broadly as possible quickly 11

NIS Leadership Transition It’s been an honor and a privilege working with you in this role as the AIAA NIS Chair! As I transition into my new role as Director, SMG, I’d like to say thanks to NIS for all of the hard work you have performed. We’ve accomplished a lot together! Abdi will be remaining on NIS, but he is stepping down as the Vice-Chair due to his current workload Jeff Laube is our new NIS Chair, and Sophia Bright is our new NIS Vice-Chair Please continue to provide them with the excellent support you have given me during my time in this role! 12
