Lesson: 4 Spreadsheets After completing this lesson, you will be able to: Identify the components of a spreadsheet. Enter data into a spreadsheet. Perform basic mathematical tasks in a spreadsheet. Insert charts in a spreadsheet. Explain the purpose of various options available for printing a spreadsheet.

Entering Text Text: data that has no numeric value associated with it. Number: constant numeric value, such as the test scores attained by a student. Formulas and functions: mathematical equations. The numeric value of formulas and functions automatically changes when the numeric value of variables associated with them changes

To Enter Data: Open Excel To enter data, click cell C1. Edit data Copy & paste contents of a cell Move the contents of a cell – Cut & paste To select a range of cells in a column To select a range of cells in a row

To Enter Data, cont’d. Insert a new row Insert a new column Column Width Row Height Delete a column/row Sort data Rename worksheet Save workbook

Performing Mathematical Tasks Function - an operation that is performed on the data in the cells by using calculation tools available in the program AVERAGE SUM MIN MAX

Performing Mathematical Tasks Formula (in B7) =B1+B2+B3+B4+B5+B6 Function (in B7) =SUM(B1:B6) All functions/formulas begin with = Formulas and functions refer to the cell address, not the data in the cells. When you change the data in a cell; the result of the formula is updated automatically. Function Wizard - automatically prompts you for the information necessary for the function to be completed.

Performing Mathematical Tasks (cont’d.) Add values Edit formula in the formula bar Copy/Paste or Cut/Paste a formula Delete a formula Insert function

Inserting Charts Represent numeric data in the form of charts – Pie – Line – Bar

Pie Chart - indicates the percentage spent on items such as groceries

Line Graph – Compares variables or shows the relationship between them X-axis - horizontal line Y-axis - vertical line

Bar Chart

Inserting Charts Select data to be included Insert chart Select chart type Enter title

Printing Data Print Preview Page Setup Orientation – Landscape – Portrait Grid lines Column and Row Headings Print a chart
