Click Add a Contact. Complete the “Add a Contact” form. Select “company name” to search for the contact on your corporate network. Click on Next. The Search Results window will display the contact. If it’s the right contact, click on Next and then Finish. Your contact has now been added to the “All Contacts” pane in the Windows Messenger 5 client. Please note: You can group your contacts by category for ease of locating co-workers, partners, suppliers, etc. The maximum number of contacts allowed by Windows Messenger 5.1 is 150. Page 1 of 4 Quick Reference Guide for Windows® Messenger 5 1. Add Contacts Organizing Contacts Organize your Windows Messenger 5 contacts to keep people associated with the same project grouped together. Open Windows Messenger 5. Select Tools, Sort Contacts By, Groups. Then select Tools again, Manage Groups, Add a Group. Type in the name for your group in the New Group box. Drag and drop contacts from the All Contacts list to the new group. When you move contacts into other groups, they remain in the All Contacts list, allowing you to place one contact into multiple groups and also giving you a master list of contacts. You can collapse the list by clicking on the arrow icon. Right- click the group to rename or delete it.

Page 2 of 4 Quick Reference Guide for Windows® Messenger 5 In Windows Messenger 5, double-click the online contact you want to converse with. If the contact is Offline or Away, you cannot conduct an instant message conversation with the contact. In the Conversation window that opens, type your message in the bottom pane and click Send. Your message will appear in the conversation pane. All the messages that you and your contact type will appear in this pane. 2. Start an Instant Message Conversation In the Windows Messenger 5 client, double-click the online contact you want to share a file or desktop with. In the Conversation window, click Start Application Sharing. When your contact accepts your invitation, the Sharing window will automatically run. The Sharing window will list all the applications and files you currently have open. Select the file you wish to share and click Share. A new window will run on your contact’s screen showing the file or application you are sharing. Minimize any Windows Messenger 5 conversations you are not using and keep the Conversation window to one side of your screen, or it will block your contact’s view. If you want to share more than one file or application, it’s easier to share your desktop instead. When sharing one file, your contact can see only that file. To let your contact make changes in a shared document, click Allow Control. 3. Sharing Files or the Desktop You can collaborate on a file or share your desktop in real time, without files being loaded on both PCs.

5. Transferring Files You can transfer files in real time by: Dragging and dropping the file onto your IM conversation —OR— Selecting File → Send a File or Photo. The recipient must accept the transfer to receive the file. A link appears in the recipient’s IM window that opens his or her download folder. If you would like to customize the location where your downloads are saved, within Windows Messenger 5 go to Tools → Options → Preferences and update the folder location under File Transfer. In the screen on the left, notice that: Brian is Online in Windows Messenger 5. Cynthia is signed in, but has set her status to Away so you know not to send messages to her. Mike is currently Offline and is not signed in to the service. To change My Status: You can change your status information from within Windows Messenger 5 by selecting File → My Status (you can also right-click the Windows Messenger 5 icon in the notification area of the Start taskbar) and selecting either Online, Busy, Be Right Back, Away, On The Phone, Out To Lunch, or Appear Offline. Page 3 of 4 My Status is one of the key features in Windows Messenger 5. When you sign into Windows Messenger 5, you register your status and effectively send updates to anyone who has added you to his or her Windows Messenger 5 contacts. 4. My Status Quick Reference Guide for Windows® Messenger 5 Using Audio/Video The audio/video features of Windows Messenger 5 are a great alternative to using video teleconferencing for a point to point meeting. Using the video/audio features requires a camera, microphone, and speakers. If you don’t have a camera, you can still use the audio feature. Some corporate firewalls may block this feature with external contacts. 1 Open Windows Messenger, select Tools → Audio Tuning Wizard and complete the Audio and Video Tuning Wizard. (If this is your first time using audio/video capabilties.) 2 Select the contact and click Start a Video Conversation to activate video and audio, or Start a Voice Conversation for audio only. The Conversation window will launch. 3 In the Conversation window, you will see your contact in the video pane, plus volume controls for speakers and microphone. If you are notified that your hardware doesn’t support “audio echo cancellation,” adjust the microphone volume until any feedback stops. You can also use a headset to eliminate feedback, but you need to disable the microphone on your Web cam.

Quick Reference Guide for Windows ® Messenger 5 Page 4 of 4 Whiteboarding The whiteboard feature in Windows Messenger 5 allows team members to sketch ideas together and get immediate feedback. You can use the whiteboard with any of your Windows Messenger 5 online contacts. 1 2 Launch Windows Messenger 5. Select and right-click the contact. Choose Start Whiteboard. Or, during a Windows Messenger 5 conversation, click Start Whiteboard. Wait for the contact to accept your request to have a session using the whiteboard. Both members of the conversation may use the whiteboard. You may save your whiteboard file for later reference. For more information or for updates to the content within this document, please visit:
