CS&E 1111 PowerPoint What is Presentation Software? l An application program that facilitates preparation and presentation of information in the form of slides l Standard Features l East preparation of slides l On-screen slide shows l Preparation of speaker notes & handouts l Slide animation

CS&E 1111 PowerPoint The PowerPoint window can be Viewed in a variety of formats depending on what you are trying to do l Normal View – a combination of the slide, outline pane & notes view pane. The relative sizes of can be adjusted as needed l Slide Sorter View – shows thumbnails of all slides making it easy to rearrange the order l Slide Show - shows the presentation on screen w/o menus l Note Pages View - shows slide on top and inserted notes on bottom l Master View - Used to set presentation defaults – heading fonts, footers, logos etc. To change views - use the view buttons on the bottom of your screen of the View Menu

CS&E 1111 PowerPoint The Master Views can be used to set defaults for all slides – Slide Master, Handout Master, Notes Master l Views used for setting presentation defaults l Formats - Print fonts, pitch, and styles, borders for: l Title Boxes, Text Boxes l Multiple levels of bulleting l Headers & Footers l Input header/footer in Master view but must apply them from the View Header/Footer menu l Default Slide Objects l lines, text color, object backgrounds

CS&E 1111 PowerPoint Editing PowerPoint Objects: l Each “box/shape” is an object l boxes may or may not have line around them l The default text boxes do not have lines and have “autowrap” features similar to word l line spacing l Each object is independent l Change fonts, styles (for the object or part of the object) l Move location l Change colors, outlines, fill Click on an object to select it – use the sizing handles to Modify the object size or click on the border to move the entire object.

CS&E 1111 PowerPoint Objects from other files can be placed into your PowerPoint presentation l Clip Art l Graphics files l Text and tables from Word - using copy/paste l EXCEL spreadsheets - using copy/paste special (“embed” or “linking” feature) l Charts - using copy/paste special (“embed” or “linking” feature)

CS&E 1111 PowerPoint Simple Copy/Paste for Sharing Data l Works within an application or from one application to another l Copies the text or graphic l Retains no connection with the source application or data When you use the paste tool with out specifying how you want your object copied – PowerPoint will select an option on its own

CS&E 1111 PowerPoint Object Embedding l Embedding copies objects such as Excel charts/worksheets in its original source application format. If you double click on the object, it allows you to edit the object using the Excel features (displays Excel menus) l Since it is a copy of the object, editing the object in PowerPoint does not change the original source. Select the Paste radio button and the MS Excel Worksheet Object to embed a worksheet

CS&E 1111 PowerPoint Object Linking l Object Linking sets up a “link” to the object in the source document. l The object will be displayed in the target document l The “linked copy” cannot be modified independent of the original object. l All changes made to the original object are dynamically reflected on the “linked copy”. Select the Paste link radio button – to link the two objects

CS&E 1111 PowerPoint Slide Transition effects l specify: l transition type l transition speed l slide advance l sound The slide change from one to the next using different visual techniques – Transitions group on the Animation Ribbon

CS&E 1111 PowerPoint Slides build one object at a time Remove or dim objects after they’ve been shown Slide Build Effects: Tools - Animation you can phase in text by clicking or pressing return one line at a time

CS&E 1111 PowerPoint Some notes about Saving and Printing l File-Save Menu allows for alternative formats of saving l PowerPoint ‘97, or older versions l As a presentation l Other formats l File-Print Menu gives options for printing l one slide per page l multiple slides per page l slides and notes together
