Click the Start ( ) button>All Programs>Accessories>Run. Install a Public Printer If you know the path of a public printer, you can connect to it directly to install it. If you don’t know the path, use the Add a Printer wizard. To connect directly: To connect to and install a printer using the Add a Printer wizard: Click the Start ( ) button>Control Panel>Hardware and Sound>Add a printer. On the Add a Printer wizard, Click Add a network, wireless or bluetooth printer. Follow the instructions in the Add a Printer wizard Install a Public Printer Print Securely Change Printing Preferences Print on Both Sides Print in Color Cancel a Print Job Printing is one of the most common work tasks, and can be one of the more expensive business costs. By learning to use printers more efficiently, each worker can help reduce printing costs and save trees. Topics in this guide: 1 2 Print Securely You don’t need a private printer to print securely. With secure printing on a public printer, the only person who can see or retrieve a print job is the person who generates it, because it’s protected by a personal identification number (PIN). 3 To create a PIN and activate secure printing (for printers that have this feature): Click the Start ( ) button>Control Panel>Hardware and Sound>Printers. Right-click the printer and click Properties. On the Properties dialog box, on the General tab, click Printing Preferences. 2 Type the path of the printer, and then click OK. Note This may take about a minute to complete On the Printing Preferences dialog box, in the Job Type list, click Secure Print. Click Setup, type a four to ten digit a secure print passcode using digits 0-9, and then click OK. On the Printing Preferences dialog box and Properties dialog box click OK.

Change Printing Preferences Print the document, go to the printer, and then press either the Job Status button or the Menu button (the button name may differ based on the printer model). Select your print job, enter your secure print passcode, and press the Print button to release your print job. Note If you forget to release the job, it will be erased the next day. The print job will be stored in encrypted form to prevent others from accessing it. Click the Start ( ) button>Control Panel>Hardware and Sound>Printers. Right-click the printer, and then click Printing Preferences. 1 2 Notes If you’ve set print options in Microsoft ® Office applications, those settings will override any settings you make in Printing Preferences. Make sure the paper size and paper source in Microsoft Office applications correlate with each other, or your documents won’t print. (When you change the paper size, the system should automatically select the corresponding paper source by default.) 7 Print on Both Sides Printing on both sides reduces paper, which saves money and the environment. For this reason, many public printers are set for two-sided printing by default. However, if for some reason you need to set a public printer to print on both sides: Click the Start ( ) button>Control Panel>Hardware and Sound>Printers. Right-click the printer and click Properties. On the Properties dialog box, on the General tab, click Printing Preferences. 3 Tip Change the orientation to “Landscape” by going to the Printing Preferences dialog box. Click the Layout/Watermark tab. In the Image Orientation list, click Landscape. In the 2 Sided Print list, click 2 Sided Print or 2 Sided Print, Flip on Short Edge. Click OK. Note When you click Flip on Short Edge, the second page will print the same side up as the first page. On the Printing Preferences dialog box and Properties dialog box click OK. 4 5

Print in Color Color printing costs ten times more than black and white. Be smart when you use color—make sure it’s absolutely necessary. To search for a color printer: On the navigation bar at the top of the window, click Add a Printer. On the Add Printer wizard, click Add a network, wireless or Bluetooth printer. Click The printer that I want isn’t listed. On the Find a Printer by name or TCP/IP address page, click Find a printer in the directory, based on location or feature and then click Next Cancel a Print Job Double-click the printer icon in the notification area of your display. Right-click the name of your print job, and then click Cancel. 1 2 Click the Start ( ) button>Control Panel>Hardware and Sound>Printers. 7 8 In the Find Printers dialog box, click the Features tab, select the Can print color box, and then click Find Now. In the Search results list, click a color printer, and then click OK. On the Type a printer name page, click Next, and then click Finish.
