Guide to SIS+ Screens Tools for Advisors

Using SIS+ Effectively For advising Freshmen –Test scores, AP credit, holds For advising Transfers –Final Evaluation, TDA For contacting students

Advising First Time Freshmen Academic Advisement Center process prior to New Student Orientation –Screen 221 for test scores –Screen 136 for current (summer) enrollment –Screen 143 for AP Credit –Screen 148 for holds

Based on this score, Tiffy is required to take Oral Communication in her first semester

EPT & Above ENGLISH & Below Oral Communications in Fall English 101 in Spring ENGL 099ENGL 099M

Based on this score, Tiffy must take Math 030A in her first semester

Advising Continuing Students The same screens used for first time freshmen are instrumental in advising continuing students When advising students, you need to know: –What classes they have already taken (136) –If the student has AP credit for certain classes (143) –If the student has holds (148)

Screen 136 – Transcript Display When a student has taken classes at CSUF only, and TDA is not readily available, screen 136 is extremely useful Information included: –Major –Semester by semester classes and grades –GPA –Units earned

Using 136 in advising Use the student’s records on screen 136 to create a checklist of major requirements In the AAC, we use 136 to create GE checklists We also use 136 in helping the student understand graduation requirements

Common mistakes when using shows units three different ways: –Enrolled: Every unit that a student has enrolled in, no matter what type of course (including remedial) or grade they earned (including F, WU, W and CR/NC) –Earned: Does not include grades of F, WU, W, or CR/NC. –GPA Units: Includes grades of F and WU, but does not include W or CR/NC.

Tiffy was enrolled in Math 030A in Fall and Math 030B in Spring, but because these are CR/NC courses, they do not count toward the GPA units. And because they are remedial, they do not count toward units earned.

Which units column do I use? For GPA calculation: GPA Units For units toward graduation: Units Earned –The easiest mistake to make is using the Units Enrolled column to calculate units remaining to graduate.

Screen 143 – Advanced Placement Utilize screen 143 to determine whether a student has received AP credit. Screen 143 will show the AP credit given, and the CSUF course equivalent When using 143, make sure to enter “U” in the Career Code field and “ ” in the School Code field

Tuffy earned a total of 12 units of Advanced Placement because he passed the American Govt (3), American History (3) and English (6) AP exams. He received credit for Political Science 100, History 180, English 101 and English 200.

Screen 143 (cont) Screen 143 will not show AP credit if the student did not have their scores sent directly to CSUF If a student claims to have AP credit, but nothing is showing on 143, ask the student to visit and request that their scores be sent to CSUF.

Screen Holds As an advisor with a SIS+ account, you can remove advisement holds placed by your Department Holds for Undeclared majors must be removed by the Academic Advisement Center

Academic Advisement Holds Indicated by an “R” in the type field Can be waived for one semester by indicating the specific term in the Waiver Term field Can be deleted by typing a “D” in the del field If your Department is listed in the Dept field, then you are authorized to lift the hold “ACAD” in the Dept field indicates that the Academic Advisement Center must lift the hold –Typically because the student is undeclared

Advising Transfer Students Before looking at the student’s TDA, it is important to utilize screen 206 to confirm whether the TDA has been evaluated by Admissions & Records In the Final Eval field: –2 = Still being evaluated –3 = Final Eval has been ordered (TDA will not work) –4 or initials = Final Eval (paper) is complete –5 = TDA is under review –6 = TDA has been evaluated and is complete

Screen 107 – Class List Current enrollment for specific courses –Must have course number and section in course field –Must have term listed –Also shows if students drop

Screen 003 – Student Contact Shows all contact information for student –Address –Phone Number – Addresses (personal and campus)

Screen 105 – Open Class List Shows which courses are still open –Must indicate term –Search for specific courses or all courses in a Department –Hitting F5 will show all classes (open and closed sections)

Screen 002 – Name Search Utilize screen 002 if student does not know his or her CWID number. –Type name (last first,) and hit enter. CWID will appear in SID field.

Conclusion SIS+ is invaluable when advising students Utilizing SIS+ can help reduce errors in advising, and create consistency between advising sessions
