Captain and Fixture Secretary Training 2018/19

What we will cover Transport policy/bookings Individual entries – BUCS and Non-BUCS Officials BUCS fixture rearrangements Fixture confirmations BUCS regulations Team sheets and playing under protest forms BUCS result entry LUSL - Playwaze

Transport KCLSU will fund all BUCS transport outside of the M25 To claim reimbursements, a copy of the receipt and completed payment request form must be sent to fixtures@kclsu.org within a month of the fixture KCLSU has accounts with 2 coach companies (more details on the next slide) who will accept bookings from captains/fixture secretaries only and the invoice will go straight to KCLSU for payment Booking of all fixture transport is your responsibility Including grounds outside M25 such as UCL where quickest public transport route involves going out to come back in

Coach Companies Select Coach Hire - chris@selectcoachhire.co.uk 02036373343 Coachhire.com – leehunt@coachhire.com 02031967043 KCL Team: Date: Pick up location: Pick up time: Drop off location: Return time: Return drop off: Contact Details: Number of Passengers: Additional information:

BUCS Individual Competition Entries Full policy can be found on the KCLSU running a club page of the website Our policy allows us to cover up to £25 for transport costs per competitor and £50 for accommodation (an additional £25 per person may be requested if required for a 2nd night of accommodation). KCLSU pays entry fees for competitors up to £100 Details of requirements for each event should be on the BUCS Events Calendar and also on the page for that sport on the BUCS website - Do not contact BUCS directly with entries. E-mail all details for any competitor as per the entry information document to me at least 5 working days before

Non-BUCS Competition Entries There is funding available from KCLSU for non-BUCS events although it is limited and will be assessed on a case by case basis. E-mail sports@kclsu.org with full details of the event including costs and number of competitors you would like to enter Previously we’ve been able to cover a proportion of the entry fees with

Officials The booking of officials for all fixtures is your responsibility Different clubs will have different methods of doing it through various systems which the former captains should have passed on to you Different tiers of BUCS competitions have different requirements for officials which can be found in appendix 5 of the BUCS rules and regulations

BUCS Fixture Rearrangements This form should be used when requesting all BUCS fixture rearrangements and sent to fixtures@kclsu.org. We will always try to accommodate changes for home fixtures wherever possible but the opposition must still agree to these changes For away fixtures, not all rearrangements will be possible but it’s often easier to rearrange if we have plenty of notice

Fixture Confirmations Sent out every Thursday ahead of the following Wednesday’s fixtures Any issues with fixture times etc. should be sent to fixtures@kclsu.org by 10am on Monday at the latest (ideally by Friday) To avoid kit clashes, we need to let oppositions know our colours. Generally, KCL teams play in Red and GKT teams in Blue/Yellow. If this isn’t the case for you, please e-mail fixtures@kclsu.org with your kit colour by 12pm on 4th October Notes will accompany the document – pay attention to these as they will be unique to each sport

BUCS Regulations There are general regulations and sport specific regulations and there have been changes to some of these over the summer (mainly around the order of the regulations) BUCS regulations Key regulations for captains: Regs 6-10, Reg 12 and Reg 16 Affiliations Document Review sport specific changes as some sports have had adjustments over the summer – e.g. Rugby Union naming front row players Affiliations document

BUCS Team Sheets and Playing Under Protest Every fixture should have 2 copies of the team sheets (one for each team) and a copy of a playing under protest form in case of need Both team sheets need to be completed fully before the start and then should be returned to the SU as soon as possible after the match Sports where scoresheets already have player names listed on them can be used instead of BUCS team sheets A blank team sheet and guide are available on BUCS website and is up to date with GDPR information Playing Under Protest Form has been updated this summer

BUCS Result Entry
