Using the Software ProtoMED Practice Management and Electronic Medical Records software enables users to … View schedules View patient information View billing information View payment information Create reports

Viewing Schedules The Schedule tab provides access for all appointments are entered, edited, and removed In daily or weekly tab view, double-click the time slot to enter an appointment for existing or new patients View information by selecting from the drop-down menu options In maintenance tab, double-click the field to add clinicians, locations, reason codes, and to add and edit schedule templates

View Patient Information In patient screen, double-click a patient’s name to access an existing patient’s information, or click ‘Add’ to add a new patient The patient pane is divided into 8 tabs for entering information

Patient Access - Demographics tab To enter or change information Click the ‘Add’ or ‘Edit’ buttons at the bottom of the screen Click any field to enter information Click the ‘Save’, ‘Close’ or ‘Exit’ buttons when done Add Patient Note Click ‘Add Patient Note’ at the bottom of the screen Click the field to enter information Click the ‘Save’, ‘Edit’ or ‘Cancel’ buttons when done

Patient Access - Demographics tab (cont’d) Print Patient Note Click ‘Print Patient Note’ at the bottom of the screen Follow the options in the Print Preview box to print To enter Universal Referral Forms Click ‘URF’ ‘Edit’ at the bottom of the screen Click the field to enter information Click the ‘New’ to create a new referral, enter the information in each field, click ‘Save’ when finished Click ‘Print’ to print an existing referral

Patient Access - Insurance tab This tab allows you to view, add, edit and delete insurance information Click ‘Add Ins’ to enter a new provider Enter the name in the name field, then a pop-up box will open for you to select the appropriate name – click ‘Okay’ to select Click the field or choose from a drop-down list to enter the necessary information Click ‘Save’ when finished Click ‘Edit Ins’ or ‘Delete Ins’ to change existing provider information

Patient Access - Charge Ledger tab This tab provides a list of all charges for a patient Adding a charge Click ‘Add’, then select who you would like the charge to be billed to and the form type Enter all charge related data To add additional procedures, click on ‘Add Line’ and ‘Continue Entry’ or ‘Add New Line’ to apply the same diagnosis and other codes Click on the Post Items button at the top of the screen. Click on Yes to confirm the marked charges.

Patient Access - Charge Ledger tab (cont’d) Editing a charge Click ‘Edit’, then select who you would like the charge to be billed to and the form type Click the "Edit" button Edit the data you want to change. Click on Post Items ProtoMED will prompt you to select ‘Yes’ or ‘No’ to rebilling that line item

Patient Access - Charge Ledger tab (cont’d) Removing a charge Click ‘Delete’ button Click ‘Yes’ to confirm the deletion Last Visit This recalls the last charge entered modify any data necessary including the date of service Click on ‘Post’ when finished

Patient Access - Responsible Party tab This screen is automatically populated from the demographic tab – no information can be entered or edited through this tab

Patient Access - Appointments tab This screen shows all scheduled appointments for the selected patient Information can be sorted by clicking the field title

Patient Access - Distributions tab This screen shows the distribution of payment between patient and insurance provider

Patient Access - Contacts tab This screen shows contact information for the patient, responsible party and other information To change existing information Click ‘Edit’, then enter the information into the appropriate field Click ‘Save’ when finished

Patient Access - ProtoCHART tab This is the electronic medical record builder This tab allows you to add, edit, delete, print and sign and post information to a patient’s chart To Add or Edit information Click ‘Add’ button at the bottom of the screen Click ‘Chief Complaint’ and select boxes next to all relevant data. (as you click new information, it appears in the box on the lower left of the screen.) Click ‘Save’ to enter, or ‘Cancel’

(as you click new information, it appears in the box on the lower left of the screen.) Adjust the data by using the slider bars, or entry box Click ‘Save’ to enter, or ‘Cancel’
