Vendor Records What to do?

History of ebook record loads At Xavier University Acquired this responsibility in early 2012 Lots of record edits to make consistent wording Cat dates were way off (into the future) URL text information was not consistent Some access to series titles/ collection titles – not all

Gathering information Created a spreadsheet with collection information Title of the collection How we acquired (OhioLINK or direct) What the platform for use is Whether MARC records are from OCLC/Vendor Edits that need & done to existing records Notes about frequency of updates / how to get updates

Evaluating the MARC records What is in the 001 tag --access number for OCLC, vendor #? Are there LC call numbers in the records? Are the GMDs included in title fields? Check for 830/710/740 fields to be able to search for the collection set in the public catalog 856 field Did the vendor provide edits to records for proxy information? What is in the $z field? How many 856 fields are there?

System loader functionality Know how and what data your system loader loads How does your loader handle the 001 field? Do you have LC call number indexed or not? Do you have standard fields to be entered? 099 tag “Electronic Book” Location code Rectype code Determine if you need to create a new loader specifically for ebook records

Using MarcEdit 001 needs to conform to consortia standards so records will match up in OhioLINK Determining what access point for identifying the collection of records (830/710/740) Make any URL changes Add proxy if needed Enter $z information -- Credo Reference : Connect to title online Change the tag from 856 to 956 Insert 910 tag to give information about the load – collection load and date processed
