1 Vendor Neutral Ebook Records from OCLC Collection Manager
Aaron Bales Sandy Sarber May 2018

2 Overview Background Issues Formation of Ebook Team Outcomes

3 Background Started loading ebook sets in 2009
Used vendor-provided record sets Process Records in MarcEdit Extensive editing process, checking all fields in records for quality Added proxy prepend to URLs Added fields for platform (710), set name (730), set identifier (902) At first, most sets did not include OCLC numbers Duplicates were expected to have separate, vendor-specific records Have to monitor vendors for updates to records sets

4 2015 “Yellow Belt project” Backlog of sets to be loaded
Workflow included multiple staff hand-offs and redundant work Determined that level of analysis was unnecessary

5 Focus on 11 Critical Fields

6 Outcomes of Yellow-Belt Project
Focused on critical fields Streamlined process Reduced per set processing time by half Loaded new sets within 2 weeks of receipt Continued to rely on Vendor- Provided records Continued to add all local fields in MarcEdit

7 Ongoing Issues OCLC Record Conflicts
Unable to load duplicate titles from different vendors Inconsistent record quality Not all records have OCLC holdings Adding holdings to OCLC is a separate, add-on step Collection assessment difficult Hard to distinguish paid titles, and permanent vs. subscription access Most sets began to use OCLC numbers OCLC implementing vendor neutral records, so the same title has the same OCLC number for all vendors

8 Ebook Records Management Team
New team established in 2017 Record Sources Metadata management and placement Impact on search Display User experience Collection Assessment Workflow Possibility of modeling our serials ejournal processing SFX & MARCit

9 Goals Provide access to all iterations of all ebook titles which we own, license or provide access to Consistent record quality Documented workflow Collection assessment

10 Vendor neutral record Single record approach Two options
Merge records in Aleph to combine duplicate records Use Knowledge Base to obtain vendor neutral records

11 The Start OCLC Collection Manager
Already had 46 sets processed through CM Knowledge Base 6 more sets have been converted to CM now Evaluating 28 more sets

12 Process Overview Check for and select set in Collection Manager
Customize Records Set Record Delivery notification that a file is ready Download records from My Files in Collection Manager Process in MarcEdit Load in Aleph

16 Record Delivery

17 Drawbacks Not all vendors have Knowledge Base collections in OCLC
OCLC consolidating record project Creates several merge files to evaluate Still requires (some) preprocessing in MarcEdit Using different systems for MARC records sets and Link Resolver requires duplicate processing

18 Benefits OCLC holdings included for all vendors Streamlined workflow
Discoverable in WorldCat ILL possibilities Streamlined workflow Fewer files to manage Same workflow for most vendors Proper management of duplicate titles Eliminate searching vendor sites for updates
