Introduction Reading Lists management in Alma is intended to enable the library to: Help university faculty by helping to complete lists contents and descriptive information and by making the lists’ content available for students Help course students, by making sure course reading lists are available for their study Make sure reading list content that is being made available to students is not in breach of copyright laws and regulations

5 Hierarchy Course Reading List Citation MMS A reading list belongs to one Course. A course may have multiple reading lists A citation is linked to one Reading List. A reading list may have multiple citations A citation may be linked to an MMS record. An MMS may be linked to a number of citations

6 Managing Physical Content

7 Managing Physical Content
After navigating to the reading list that I’m working on, I have filtered my list to see only the ‘Ready For Processing’ citations that have a ‘Recommended’ tag Citations are created with a ‘Ready for Processing’ status

8 Managing Physical Content
I notice that the citation has a single available copy, and that the citation is demanded by other courses as well. I select to Manage Fulfillment Options Another option is to just print a pick slip and go get the item from the shelf

9 Managing Physical Content
I notice that the item is heavily used by reading lists, so I place a request to move the item to a reserved location

10 Managing Physical Content
If the request is for a temporary move then a ‘Due Back Date’ will be automatically assigned, taken from the date that is configured on the reading list. The due back date on the list was inherited from the course’s end date. This date will be used by the system to automatically place a ‘Restore’ request when the date comes, so that the item will get pulled back to its permanent shelving location

11 Managing Physical Content
A standard fulfillment process (move request) for moving the item to the temporary location is triggered. At its end, the item will be at the requested location

12 Managing Physical Content
The steps in processing the move request are recorded as alerts on the citation. This way, the reading list operators can filter for requests that have been processed, or cancelled. Once the move request has been completed, I can set the citation to a status of Complete

13 Managing Physical Content
If the request was for a temporary move and a due back date has been assigned, a Restore request will automatically be created when the date arrives

14 Managing Physical Content
I can also scan in the item to change its location without creating a move request first, by using the Change Item Information tab of the Scan In page. This can even be used to add an item to a list if it has not been added before

15 Managing Physical Content
The same bib record may be linked to another citation on another reading list. If the item is requested to be moved to the same location, its due back date will simply be extended as per the requirement of the second list

16 Digital\Electronic Content

17 Digital Content If the citation has digital inventory then there will be an option to ‘View It’

18 Digital Content If the citation has digital inventory then there will be an option to ‘View It’

19 Digital Content I can set the citation to Complete

20 Electronic Content The same would be true if there is electronic inventory

21 Electronic Content The same would be true if there is electronic inventory

22 Electronic Content I can set the citation to Complete

23 Create Digital Content

24 Create Digital Content
I may notice that I have the required resource in physical format, would like to create a digital resource I will use Manage Fulfillment Options to submit a digitization request

25 Create Digital Content from Physical Item
I have a Digitization Profile Rule that: Adds items created for a reading list to the repository Requires copyright approval More information on Digitization Profile rules at :

26 Create Digital Content from Physical Item
I submit the request

27 Create Digital Content from Physical Item
Request has been placed. As per the Digitization Profile Rules, the request is not activated until an approval is done from the Approval List

28 Create Digital Content from Physical Item
An Approver must approve the request before it can progress

29 Create Digital Content from Physical Item

30 Create Digital Content from Physical Item
Digitization process continues until digital resource is uploaded

31 Create Digital Content from Physical Item
Digitization process continues until digital resource is uploaded

32 Create Digital Content from Physical Item
The information from the digitization process is updated on the citation. The citation can be filtered by the ‘Citation Digitization Request Completed’ alert. If the digitized resource is OK, the citation may be set to Complete

33 Create Digital Content from Electronic Item
I can also create a digital copy based on a resource that is electronically owned. The result will be a digital resource that the students can access without linking to the full electronic resource. This may be useful for example for creating a digital copy of a specific page range or a specific diagram etc.

35 CLA Digital Content Store

36 CLA Digital Content Store
The Digital Content Store (DCS) is a web-based platform that is managed by the UK Copyright Licensing Agency (CLA). The system combines a searchable repository of digitized book and journal extracts with an online workflow management tool. With the DCS, you can Verify ownership  Check permissions Eliminate census reporting Automate requirement checks And share and use content from other HEIs See for information on how to configure integration with the CLA’s Digital Content Store

37 CLA Digital Content Store
If the DCS profile is configured, you can link resources to the DCS managed citation and content

38 CLA Digital Content Store
If there is more than one match, Alma will allow manually selecting

39 CLA Digital Content Store
It is also possible to manually enter the link to the DCS resource

40 Adding Link to a Non Owned Resource

41 Adding Link to a Non Owned Resource
If the citation is for a resource that is not owned by the library, you can save the URL on the citation’s “Source” field, and trigger a copyright auditing on the resource

42 Adding Link to a Non Owned Resource
The resource will be viewable, and its copyright status will be tracked

43 Adding Link to a Non Owned Resource
When an approver will approve the request from the Approval Requests List, the updates status will show on the citation

44 Adding Link to a Non Owned Resource
When an approver will approve the request from the Approval Requests List, the updates status will show on the citation The citation can now be set to Complete

45 Adding Link to a Non Owned Resource

46 Purchase Requests

47 Purchase Request If the resource is not owned by the library, or if there are not enough copies, you can launch a purchase request

48 Purchase Request

49 Purchase Request The Purchase Request shows up in the Manage Purchase Requests task list. When the selector approves it and creates a PO Line, the reading list will be updated with an alert

50 Purchase Request The Purchase Request shows up in the Manage Purchase Requests task list. When the selector approves it and creates a PO Line, the reading list will be updated with an alert

51 Primo & APIs

52 This can be used to build Primo searches based on course information
Course information can be published to Primo with the published citations. This can be used to build Primo searches based on course information See

53 APIs Alma provides a set of Web services for handling courses and reading lists related information, enabling you to quickly and easily manipulate their details. These Web services can be used by external systems such as Courses Management Systems to retrieve or update courses and reading lists related data. See

54 Course Loading and Roll Over

55 Course Loading and Roll Over
You can import course information from your course management system. Alma supports this using the Course Loader integration profile that runs on the schedule you configure. The loader can also be used to roll over course, i.e. create a new course/reading list in a new date range, based on an existing course/reading lists See:
