Lean Six Sigma Green Belt Read me first Project documentation requirements The project must have all the slides that was given to you in this template. You can add more pages if you wish. Please use font size 12 for text. Smaller = hard to read. Bigger = not enough information. Presentation You will have 10 minutes to present your project on the last day of the training. Presentation slides are welcome, however you are free to use this project documentation itself as a background (although it is not very good idea in real life.) Imagine that you are presenting to your sponsor. So focus on a clear structure, such as 1) Why did we do it? (Link to customer? 2) How did we do it 3) What was the benefits. Please keep in mind that many people in the audience will not understand your process at all. Use simple words, no abbreviations or technical terms. Test it on someone who has no clue about your work: If he or she understands, then it is ok. Project scope You are expected to measure current state of the KPI and provide real numbers. If you are not able to, please talk to me. You are not expected to validate root causes, implement the improvements or track the benefits, you only need to suggest how you would do that. (Of course, you are not expected but you can still do them). Project timeline Presentation on last day morning is mandatory. Handing in this project documentation (the template) by the presentation day 9:00 AM is mandatory If your project does not meet all the requirements above, you may be asked to add them. You have 1 month after the presentation to do that. We are all people. We will not bully you and  give it back to you 17 times to rework all the little details. However, we expect some effort into this project. You can delete this slide from your presentation  Project Assignment Lean Six Sigma Green Belt

Define: Project charter Project name Project sponsor Project manager Project team Start – Finish date Project description: (Basic description including the reason of the project and the potential benefit. What process is being analyzed? What can be the benefit of improving the process?) Project goals (Analyze process xxx, measure waste, set goal for improvement) Project KPIs Please mention one KPI that will be measured and analyzed during the process- Excepted benefit (If you can already estimate what can be the benefit of the process improvement, include it. If you do not have hard benefit estimate, please describe soft benefits of this project.) In scope What process will be mapped, in to which detail, for what example Out scope What will not be done Project plan Please write (3-5 dates + what will be done by the time) Project risks Please list potential causes that can prevent you from achieving the benefits. Project Assignment Lean Six Sigma Green Belt

Define: SIPOC analysis of the process Paste a SIPOC analysis on this page Project Assignment Lean Six Sigma Green Belt

Measure: Data collection plan Key performance indicator name Formula (How it is calculated) How the data is collected (Observation, measurement, system extraction, survey) How does the KPI influence EBITDA? Who will measure it? How often? How long? Will be measured (Eg the baseline will be measured Where it will be measured? If you have more than 1 KPI, duplicate this table or slide Project Assignment Lean Six Sigma Green Belt

Measure: Current state of the KPI Add real measurements on this page, preferable in the form of charts Make sure that at least one chart or data table is included. Mark the axis and clearly show what is good performance and what is bad performance. Add at least 1 or 2 sentences of commentary and explanation. Project Assignment Lean Six Sigma Green Belt

Analyze: VSM or Swimlane mapping VSM or Swimlane (or both) Add a picture of a value stream map or swim lane in readable font size. Methodical accuracy of using the symbols will not be judged. Make it detailed enough to fill the page if possible. Project Assignment Lean Six Sigma Green Belt

Analyze: Waste overview List all the 8 wastes and list possible examples on this page (these are hypotheses and may not be present in real life, just name any possible wastes). Use font size of 12 and fill the page.  Be specific and provide at least 3 examples per waste. Motion is not only physical motion, but for example too many mouse clicks, complicated system interface etc can be a motion waste. It is rare that one of the 8 wastes is not present. If you claim this, expect hard questions. :) Project Assignment Lean Six Sigma Green Belt

Analyze Root cause analysis (+ Pareto example) Paste here an analysis of possible root causes (either in a form of ishikawa, mind map or any other suitable form) Make sure that you reach 5 levels deep in your analysis If you have the data, put a pareto chart on next slide, showing how much the root causes occur Project Assignment Lean Six Sigma Green Belt

Improve: Hypotheses for impovement You can describe it here in text or use impact matrix or other visualisation, but please add few sentences of comments so it is clear for people outside of your company. Project Assignment Lean Six Sigma Green Belt

Control: Benefit tracking and sustainability plan In font size 12, please answer cover these topics: (you can use more than 1 slide, use visualisation where possible How will you measure that the project was successful? How the responsibilities for the new changes will be communicated? How the changes will be documented? How will you measure that you sustain the benefits (regular KPI measure) and How will you implement the principles of short-interval control? if you plan to add the process KPI to peoples bonuses to motivate them?
