Presentation Overview Objectives Scope Benefits Status of Activities

Objectives To replace the existing finance systems FINAUT and BETS with a modern integrated accounting and budgetary control system within the approved budget.

Objectives To implement streamlined business processes and controls that reduce duplication efforts and paperwork. To integrate the new financial system with the various feeder systems and allow easier integration of future systems and changes in business processes.

SCOPE Three user areas covered under AIMS: Finance The Office of the Controller Program Managers (Budget- Reporting) To integrate the new financial system with the various feeder systems and allow easier integration of future systems.

Benefits Productivity gains within the Finance and Budget business areas resulting from streamlined business processes. Qualitative improvements in financial management information to Program Managers will make it easier to manage projects and activities.

Benefits (cont.) Requirements for transparency in, and security of, financial operations will be addressed. Flexible system platform to which other administrative systems may be integrated while also allowing future changes in budgetary and accountancy procedures.

Status of Activities Undertook a comprehensive evaluation & selection process which resulted in the purchase of PeopleSoft financials modules in September Approximately three weeks of training conducted on the standard PeopleSoft functionality for a group of persons including project team members and key users.

Status of Activities (cont.) An RFP was issued in early November 2002, and the offers received from the system integrators have been evaluated and the three best companies were short- listed whose proposals are being evaluated in depth to select the most suitable company.

Status of Activities (cont.) All business processes requirements on Expenditure/General Accounting and Budgeting Control have been documented and are being agreed with users. Documentation of business processes requirements on income is underway.

Status of Activities (cont.) Internal PeopleSoft Consultants are now mapping business processes requirements to PeopleSoft Software in preparation for structured FIT/gap sessions to be undertaken with key users.
