FIELD LIAISON SONIA GUIDE Susannah sinclair field@brynmawr.edu

logging in: https://brynmawrssw.sonialive.com/School.aspx

Remember: choose your role! Your role will always be “Field Liaison” when logging in. Your username is your full Bryn Mawr email address. For example, if I were logging in, my username would be: smsinclair@brynmawr.edu. Your password is one you create. Please find your way to remember it! If you need to set your password, it must be reset by the Field office, so you should either: send an email to field@brynmawr.edu, call 610-520-2601, or 610-520-2605 so I can send you an email reset.

navigation This is the home navigation bar. Once you’ve logged in, you’ll arrive at the Home page (highlighted in green above). Click on any of the tabs to navigate to different sections. The most important sections you’ll use this year are Students, Forms, and School Documents. The Forms tab will have every fillable form you need to access this semester, assigned by student. Please check this section frequently! Students gives a list of your students, allows you to run reports, and allows you to email students and/or their field instructors (in bulk or individually). School Documents is your resources page – you’ll find calendars, guidelines, articles, resources, and other useful materials here.

What to do first Check out your student roster! Navigate to your Students tab (highlighted above in green). Your students will appear in a list below (where “Test Student” appears in the image above).

Then: Export your first roster First, click on the drop-down menu to choose “Supervisor Assignment Sheet”. Then: click “View” on the right, which will allow you to export a roster of your students. Note: Clicking “View” generates a report in your browser. Please give Sonia a few moments to create your report. Sonia will automatically open a new browser tab for you to view and export your report.

Your roster will appear in this format Your roster will appear in this format! If you’re seeing students from previous years, please change the Date Range (underlined in red) to the current semester start date and click “View” again to reload. Your Sonia report includes: Placement Group name Placement Group dates Student name Student ID # Student Phone # Student Email Agency Name Agency Address Agency Phone # Field Instructor Name Field Instructor Email Field Instructor Phone #

Emailing students and field instructors You can email students individually or in bulk by clicking either the check box next to the student’s name, or the box above in the blue bar, then Clicking “Send Email” located at the top right. The same process works for Field Instructors!

Emailing Continued Once you’ve clicked “Send Email”, an email box will pop up on your screen. You are automatically cc’ed on every email you send, which allows you to keep records in your personal inbox. Fill out the body text as you would a regular email, and click send!

Forms! (AKA Assignments) Forms your students will use: Process Recording – Group Columns, Group Narrative, Columns, Narrative Learning Agreement17-18 Bryn Mawr GSSWSR Field Evaluation 17-18 Field Liaison Final Grade Form Field Liaison Site Visit Form

Forms appear on your forms page attached to individual students: For this test student, all forms for the fall semester are below, as well as their due dates (Site Visit forms do not have a due date).

Notice there are 6 Process Recordings associated with each student! This is a NEW feature, which will allow students to choose what type of process recording they will be completing without students having to choose these forms themselves. Students still have the option to complete a Narrative Individual or Group process recording, and those two forms are available to students on their own Forms tabs in a self-selection menu. Your student only needs to complete 3 process recordings for the Fall semester. How can you see which have been completed? Filtering!

Filtering: Part 1 There are many options for filtering forms in your list. To filter by Form name, simply type the form name into the “Form Name” box:

Filtering: Part 2 To filter by Student, simply type the student’s name into either the “First Name” or “Last Name” boxes: To Filter by completion, there are multiple options. For example, if you are looking for a Process Recording that has been reviewed by the Student and Field Instructor, you can type “3 of 4” into the “Completed (All)” box. For forms you have completed, you can choose the “Hide Completed” check box to filter these forms out from your list results.

New features! School documents

For assistance: Email field@brynmawr.edu, or call 610-520-2601 or 610-520-2605. You can also stop by the Field Office for in-person assistance- I’m in room 106!
