Why Plan? Expanding Threat Environment Vandalism Technology Emergencies Accidents Fire Natural Disasters Acts of Violence A District must plan to continue its essential functions in an all-hazards environment and across a spectrum of emergencies.

Hindrance to Planning Failure to identify/accept the risks Perceived lack of time Perceived lack of resources

Plan Objectives Make a reasonable and concerted effort to ensure essential functions can be performed under all conditions. Minimize property damage and loss. Reduce or mitigate disruptions to operations.

Plan Objectives Ensure departmental services have an alternate facility to operate from where it can continue to perform its essential functions. Protect essential facilities, equipment, records, and other assets, in the event of a disruption. Validate continuity readiness through testing and operational capability.

Plan Process Determine staff to include in the process Develop a planning timeline Recognize and prioritize threats Assemble critical information Write and test the plan Commit to continuous improvement

Determine Staff Enlist support of superintendent Identify key areas and staff Administration Operations Finance Student Nutrition Services Human Resources Transportation Instruction Special Services Information Technology Identify key positions at other facilities

Develop a Timeline Continuous process Put deadlines in place Include time for testing Be realistic

Recognize and Prioritize Threats Examine historical events in your district Consult with retired administrators and staff Consult with Emergency Management How does emergency management plan relate to business continuity? Gather and share information with surrounding Districts Support each other and work together Be realistic in prioritization Look at your District and determine the greatest threat to examine

Assemble Critical Information Create an inventory of District facilities and functions Remember District functions housed at a non-traditional location Contact information of key staff at facilities Master list of critical technology resources Ensure fixed asset records are up to date Store information in multiple locations Share information

Write and Test the Plan Write a comprehensive document Conduct a walk through of the plan At a minimum, key District staff should walk through the plan Have all staff in critical areas participate in a drill Review the plan during different times of the year Remind staff of plan Keep plan in central location

Commit to Continuous Improvement Conduct a formal review annually Share changes with appropriate staff Remind staff of plan and receive input Respond to District changes Update as positions change or facilities change Update as external circumstances warrant

Suggested Next Steps Start the conversation Enlist the support of your Superintendent Regularly backup data Employees with laptops should take home daily Have multiple copies of important documents stored in separate locations
