Controller

Web Development Site: This presentation shows you the way we update the controller’s office home page, using the web development site. Only the main aspects are explain in an easy and practical way. To type username and password, go to: https://www.miami.edu:445/UMH/CMA/options_page/1,2432,,00.html (page 4)

Things you should know: Menu page: controller’s office. Submenu page: accounting information, etc. Information page: what you have inside of the each of the submenu pages.

Enter your credentials:

PART 1(Add a page)

Add an Information Page:

Steps: Type the name of page either in the headline space or in the internal page description page. If the file is a long file or large table use the text editor (click on it) and paste it in the box as a HTML file. If not just paste it in the box showed in the previous screen. The file can be created in word and then do a copy & paste or if the file is not complicated, it can be created directly in the box, known as ‘WYSIWG’. Click on preview content (see next slide) to see if the page is right.

Click on Preview to go to the next screen:

Steps (cont.): Click on save page if you think the page is right. Click on back to edit if you miss something .

Steps (cont.): The page is save, then you have two options: 1- wait the approval from your supervisor. Or 2- launch it. When you do this process, the page is ready to be linked (ahead we will see more of this).

Inserting an Image: Scroll down to select the department from which you want to select the picture.Click on the image that you like and system will locate it automatically for you. If you do not see any image relate with the page that you are creating, you should not insert anything, only the title and the text.

Once you have the page, you should know the submenu page for it (left image below) and then do the link (right image below). We are taking Sponsored Programs as an example. At the end do the usual: preview it, save it and launch it.

PART 2 (Edit a page)

Edit an information Page: Same process as add an information page. In this case the page is already there. Scroll down to find the page and click on edit. Do the changes Preview it, save it and launch it.

PART 3 (Submenu Page)

Add and edit a submenu page: To add it, same way as you add an information page. To edit, same way as you edit an information page.

PART 4 (Edit Controller’s Home page)

Updating the main page, is the same process as we did with the information page and submenu page. Change content (left image below) and add or delete link (right image below). As always: preview it, save it and launch it.

PART 5 (Submit a file)

Any file you want to submit, always try to have it under our Shares folder from the Network-FRS System-Webpages-Accounting or Spons……

Process: Browse until you find the file that you want to submit (local filename). On the remote file, type the right path: http:\www.Miami.edu\controller\name of the file Hit submit.

PART6 (Protect a page)

Protecting an Information Page:

First Step: User Manager Click on user manager (left image) First Step: User Manager Click on user manager (left image). Add the username and the password for that user and hit add (right image). To delete the user, scroll down until you find the name and hit delete.

Second Step: Page Manager Click on pager manager (left image) Second Step: Page Manager Click on pager manager (left image). Scroll down until you find the page and select the user you would like to have access, press protect. To Unprotect the page, scroll down until you find page and press unprotect.

PART 7 (To Do List)

This option is very useful because it will tell you the information pages in your Home Page near expiration, waiting for approval or waiting to be launched.

ADDITIONAL NOTES: To delete any page from the site, always go to the edit section and select either information page or submenu page. The option is at the end of the process, next to the preview content. In the process of add or edit, there is an option to keep the page valid for a certain period of time. Usually we keep it for 1 year. If that page is going to expire, information technology will let you know. Go to that page and valid it for another year. You always can add a page directly to the site (if this one is short page) without copy it and paste it from office and the process is the same, for example: the information page “manuals”. We never use the calendar or announcement section and also we do not have any link using information from another department, therefore, that section has never been used.
