1 Introduction to the ISB Intranet
A guide for posting and maintaining information

2 Introduction Our Intranet uses Plone and allows employees to easily post and update information. The following slides will demonstrate how to post and update information for your department or group.

3 Posting Information The Intranet web address is: Log in to the Intranet page Use your ISB username and Windows password

Once you are logged into the Intranet page, you will have access to edit information for your department or group. There are several tabs available on the home page and these may include more than one group. Administration includes: Communications, Development, Facilities, Finance, Human Resources, Information Technology, Intellectual Property, Sponsored Projects and Strategic Partnerships.

5 Adding Folders After you log into the Intranet page, click on your department or group. Click on Add new, select Folder. Enter a name for the folder and click save.

Adding Folders cont. Publish the folder – this step is needed otherwise the folder remains private and can’t be viewed by everyone. To publish a folder, click on State: Private Select Publish. Published folders can be viewed by everyone. This is an example of a private folder

7 Adding Files Click on a folder to post a document in it.
Click on Add new, & select File. Enter a Title for the file. Adding a Description is optional. Click the Browse button to select the file. PDF files are recommended for posting on the Intranet site. Click Save.

8 Modifying Files Select the file to modify or change.
Click on the Edit tab. This allows you to upload a replacement file, change the title or add a new description. Uploading a Replacement File Select Replace with new file Click the Browse button to select the file. Click Save.

9 Posting Pictures Click on a folder to post a picture/image in it.
Click on Add new, & select Image. Enter a Title for the file. Click the Browse button to select the image file. Click Save.

10 Excluding a File From Navigation
Sometimes files may be posted that don’t need to show up in the navigation listing. This often applies to photos or images because they may be added to a specific web page rather being a separate item. Select the photo file. Click on the Edit tab. Click on the Settings button. Check the box Exclude from navigation. The photo will still be on the Intranet. Click Save.

11 Adding New Pages A web page can be used as the default view for a folder, to show information about a group or a specific subject. To create a new web page, click on the folder that will house the new page. Click on Add new, select Page. Enter a Title for the page. The information for the web page should be entered in the Body Text box.

12 Formatting Web Pages The formatting options for web pages are similar to the options available in Word. Text can be regular, Bold or italic. Use headings and subheadings to better organize material. Insert links to folders, pages or files. Insert pictures/images. On the next few slides, I’ll discuss how to add links, external links, & anchors to your web pages.

13 Internal Links Internal links link to a file, folder or page on the Intranet site. Click on the button to insert an Internal Link. Then select the file, folder or page to link to. Then click Ok. A new internal link will appear on your web page.

14 Creating Anchors A web page “Anchor” is like a hyperlink in Microsoft Word. An “Anchor” often links to a heading or subheading that is part of the same web page. Modify sections of text as headings or subheadings before creating an Anchor. Click on the symbol on the web page to place an Anchor if the item isn’t a heading.

15 Creating Anchors cont. Click on the button and click on the Anchor tab. Then select the item to link to on your webpage and click Ok. If there are no items available to link an anchor to, then you will need to modify your web page to either have headings/subheadings or manually placed Anchors.

16 Linking to External Websites
Enter some text, select it and click on the button. Click on the External tab to create an external link. Enter the web address for the link – I’d recommend copying a web address from your web browser. There will now be a link to an external web site.

17 Setting a Page as the Folder View
You can set a web page as the default view for a folder. Click on the folder that you would like to change the view for. Click on Display, then click on Select a content item as default view Then select an item to be the default page for the folder. Click Save. The folder will now display a web page as its default view.

18 Setting the Order of Items
Click on the folder that needs items sorted. Click on the Contents tab. Click in the order column for the item that needs to be moved. Drag the item to its new location. The item will turn yellow when it is moved. Unselect the item, otherwise it might not keep the new order. Click here yellow

19 Forms Create a new folder under your department or group called Forms.
This is the folder where you will post all forms for your group.

20 Forms cont. Publish a file in the forms folder and then add it to the category form. To add a file to the forms category, click on the Edit tab for the file. Click on Categorization. Look under Existing categories and select Form. Click Save. Files categorized as a form will appear when forms are searched for and will appear on the forms page. Forms on the Forms page will be listed by group.
