WELCOME TO THE OAKVIEW ELEMENTARY PTA

Hello Oakview Elementary Families. Welcome to our first PTA meeting Hello Oakview Elementary Families! Welcome to our first PTA meeting! The purpose of the PTA is to first and foremost support our students. In addition, PTA supports the faculty, staff, parents, and the local community. “Every Child-One Voice” is the National PTA motto and the PTA is a strong voices in the educational process that directly supports our children and school. This year will be no different. An effective and successful PTA requires support and involvement of the parents of our students. It is vital. Your first opportunity to show support is to become a member of the Oakview PTA. The second way to show your support will be to participate in the numerous exciting events and programs that we have planned throughout the year. You may choose to be a committee chair, committee member, or volunteer. Which ever level of participation you choose, your time and involvement will be greatly appreciated. We promise that the time you give to the PTA and the school will be worth your while— and fun!

Roles and Responsibilities of Committees Committees are a way to share the work. Committees are also a vital part of a PTA and are a great way to develop new leadership. Committees plan and promote the activities of the local unit. Committees are designated in two ways: 1. Standing committees are permanent. These committees conduct business year-round. 2. Special committees conduct specific business on an ad hoc (as needed) basis. These committees are charged with a specific task and dissolve when the business they were charged to do is complete. The committees we are recruiting for this evening are the following, this list may grow the school year progresses. Communications Fundraising Hospitality Membership Spirit Wear Enrichment

Communications Duties at a Glance: Develop a public relations plan with measurable results, like growing membership Complete a plan of work for the work of your committee. This alerts your Local PTA board of the committee as well as the dates, and resources to reach those goals. Form partnerships and collaborations with businesses, civic groups and organizations in the community Develop key relationships with members of local media outlets (radio, television, newspaper) Submit media releases and public service announcements (PSAs) for PTA activities and sponsored events Develop a relationship with communications or public relations staff at your school and administrative office Create and publish a PTA newsletter on a regular basis Help maintain PTA website and/or social media account and keep both current Review WCPSS Social Media Policy Become familiar with and follow the branding guidelines presented by National and Oakview PTA

Fundraising Duties at a Glance: Research and present fundraising ideas to the board and membership for approval. Coordinate fundraisers throughout the school year as needed to assist funding PTA programs and activities. Make sure all fundraisers comply with local, state and federal laws, along with school district rules. Report to board and members the outcome of all fundraisers. Complete a plan of work for the work of your committee. This alerts your Local PTA board of the committee as well as the dates, and resources to reach those goals.

Hospitality Duties at a Glance: Acts as official host of a PTA in creating welcoming atmosphere at meetings and events Maintains hospitality supplies and equipment and an updated inventory for them Coordinate the purchase, preparation and set up of refreshments, food, supplies, registration sheets, nametags and any decorations for PTA events. Arrive early for meetings to check that the room is ready with enough tables and chairs for presiding officers, audience, presenters and activities. Check equipment, supplies and set up hospitality table. Consider assigning board/committee members as greeters for meetings and to introduce new members to others to make them feel welcome. Thank volunteers, cafeteria or maintenance staff for helping with the meeting arrangements

Membership Duties at a Glance: Creating, implementing, and assessing a year round membership plan that includes retention strategies as well as action steps that target and attract new members. Building an informed and active membership that supports PTA’s mission, goals, and programs and understands the link between PTA at the local, state and national levels. Promoting and celebrating PTA successes with members and the greater community. Distributing membership cards Providing membership reports.

Spirit Wear Duties at a Glance: The Spirit Wear Chair manages the design, ordering and selling of Oakview Elementary apparel and accessories. Responsibilities include finding a vendor (3 bids needed), working with vendor to design new items, placing initial order with vendor for items to sell at school events and working with vendor to have online ordering available for balance of year.  This role is primarily busy August/September and then available for questions or reorders throughout the year.

Enrichment Duties at a Glance: The committee assesses existing enrichment opportunities for students, identifies gaps, and focuses on greatest needs. The committee then organizes around specific programs (e.g., chess, physical education, language, etc.) to research the needs for enrichment programs, develop strategies for bringing the program to Oakview and find organizations that specifically address the goals of that program.
