Complying with HEFCE open access requirement for eligibility to REF2021 submission How to create a record in Pure and upload your ‘Author’s Accepted Manuscript’ version

What you need in order to deposit: A user account that permits access to Pure with your King’s username and password ( Confirmation that the article has been accepted (i.e., notification of acceptance from editor or publisher) Basic details of the publication (ie., title of article, title of journal, date of acceptance – DOI, if assigned) Copy of ‘Author’s Accepted Manuscript’ version (a.k.a. post-print or author’s final draft; the version that is post-peer review, but prior to publisher’s copyediting and typesetting)

Login to Pure, click ‘Add new’

Select ‘Create new submission’

Indicate whether article is peer reviewed or not Enter appropriate values in fields (starred fields are mandatory) Choose “Accepted/In press” from the menu and enter the date of your acceptance Scroll down…

Enter the title of the publication Enter the publication title Scroll down…

Check Sherpa Romeo publisher permissions When you enter the name of a journal the Sherpa/Romeo plugin automatically shows your permissions. For example: Defence Studies allows authors to upload their Author Accepted Manuscript (post- print) with an 18 month embargo. Scroll down…

Note: Embargo periods and how to set them…! An embargo period is the minimum time a journal will permit after publication before a version of your paper can be made public. You can use Sherpa Romeo to find out how long the embargo is for your journal.Sherpa Romeo Embargo end date is set at acceptance; however, embargos run from publication. Consequently the embargo end date may not be known when you upload the file. In this case, estimate the embargo end date; if necessary it can be corrected after publication. Once set, the full-text document will be visible on Pure but not on the Research Portal – and will only be publicly accessible once the embargo has expired. Please be aware that in order to comply with the HEFCE policy for eligibility to submit to the REF2021, it is advised that an embargo be no longer than 12 months (for REF panels A and B) or 24 months (for REF panels C and D). If your chosen journal demands a longer embargo period, an exception will need to be claimed to ensure compliance (for help, And if the journal never permits a version to be made public (i.e., requires an ‘eternal’ embargo), it will still be necessary to deposit the ‘Author’s Accepted Manuscript’ version on Pure in order to comply with the HEFCE policy!
