Module 4 Creating EMC Files, Uploading EMC Files and Downloading Reports PC-ACE Pro32

2 Objectives After this training module, you should be able to: Generate EMC files via PC-ACE Pro32  Connect and login to the FTP server  Connect and login to the Encounter Data Front-end System (EDFS) web site  Upload EMC files via both the command line FTP and EDFS web site  Download files via both the command line FTP and EDFS web site  More detailed information can be obtained from the Encounter Data User Guide or by contacting the CSSC Help Desk. 4 Create EMC File in PCACE Pro32 To generate the Electronic Media Claims (EMC) file please refer to the PC-ACE Pro32 Users Manual for the type of claim file you wish to generate.  Section 5 Institutional (Part A) Claims Processing Preparing Claims for Electronic Transmission (p. 27)  Section 6 Professional (CMS-1500 – Part B) Claims Processing Preparing Claims for Electronic Transmission (p. 39)

5 Locating EMC File for Upload Both Part A and Part B EMC files are located in the installation root directory for PC-ACE Pro32, the default for this directory name is WINPCACE  Part A EMC File name is BCTRANS.DAT  Part B EMD File name is BSTRANS.DAT

6 About Response Reports After you have uploaded a file to the Encounter Data Front-end System you will receive a response report. This report shows you the results of front-end edits. It is important to download this report, because it may contain the only notification your claims have rejected. Further information on front-end edits is available on both the EDFS CMSNet web site and the CSSC Operations Internet web site.

7 Connect to CMSNet To connect to CMSNet, please follow the instructions in the given to you in accordance with your type of connection. Further information can be obtained from the Encounter Data User Guide.

8 Command Line FTP Login Once you are connected to CMSNet, open a command prompt login to the FTP server. An example of the command sequence would be:  C:\ftp  ftp> open  Enter your Encounter Data submitter ID for the User  Enter your Encounter Data password  You should now be connected to the FTP server  More information can be obtained from the Encounter Data User Guide

9 Command Line FTP Upload Once your are connected to the FTP server a basic file upload command sequence would be:  ftp> put YOURFILENAME CUSTOMER_UPLD!FTP  YOURFILENAME would be for example BCTRANS.DAT or BSTRANS.DAT  CUSTOMER_UPLD!FTP is a required keyword that allows our processing system to automatically process your file once the upload successfully completes.  More information can be obtained from the Encounter Data User Guide

10 Command Line FTP Download To retrieve any responses or reports pertaining to data you have transmitted, follow these basic steps:  Connect to the CMSNet  Login to the FTP server  Once logged in change to your outbound directory (ftp> cd outbound)  Use the get or mget commands to download files  More information can be obtained from the Encounter Data User Guide

11 Access the EDFS Website The Encounter Data Front-end System (EDFS) web site is another way to upload and download files. To connect to the EDFS Website follow these steps:  Connect to the CMSNet  Open a web browser  Navigate to the URL

12 Login to the EDFS Web Site Once you successfully navigate to the EDFS, if you are not logged in the login page will display, and example is below

13 Login to the EDFS Web Site cont’d Once you are at the login page;  Enter your Encounter Data Submitter ID for the User Name  Enter your Encounter Data Submitter Password for the Password  Click the Login button

14 EDFS Upload File Page Once you are successfully logged into the EDFS click the Upload File tab in the menu bar. An example of the Upload File page is below:

15 EDFS Upload File Page cont’d Once you are at the Upload File page follow these steps:  Click the Browse… button to navigate to the file you wish to upload  Once you locate your file click the Open button in the dialog box  When you click the Open button you should see the path to your file in the box next to the Browse… button  Click the Upload File button on the upload file page

16 Successful Upload via Web Site Once your file is successfully uploaded via the EDFS web site you will receive a page similar to this:  Further information can be obtained from the EDFS User Guide

17 EDFS Mailbox Page To download reports via the EDFS web site click on the Mailbox tab in the menu bar, an example is below:

18 EDFS Mailbox Functions The EDFS Mailbox allows you to perform the following functions:  Filter your directory list (useful if you have many files in your mailbox)  Download a file from your mailbox to your computer  View a file from your mailbox on-line (not recommended for large files)  Delete files from your mailbox (deleted files can be restored by calling the CSSC)  Further information can be obtained from the Encounter Data User Guide
