Who notifies nominated candidates and reconfirms their willingness to be nominated?

The district leadership committee chair or district director notifies nominated candidates and reconfirms their willingness to be nominated.

How many weeks prior to the district conference must the committee report be submitted and published, respectively?

The committee report must be submitted six weeks prior to the district conference. It must be published four weeks prior to the district conference.

What is the District Leadership Committee?

It is the committee that seeks out prospective candidates, evaluates and interviews candidates, nominates candidates, and provides a complete report of candidates.

What does the committee do if no candidates have submitted their name to run for a specific position?

If no candidate has submitted their name to run, the committee must find candidates who are willing to run. The committee then completes the same process that was followed for the other candidates.

How does the District Leadership Committee choose which candidates to nominate?

The District Leadership Committee evaluates the results of its interviews and matches the applications against the competencies of the position. The committee considers each candidate’s leadership ability and willingness to achieve the district mission by following the core values of the organization.

Question How many mailings are permitted per candidate and when do they start?

Answer 2 – 10 Each candidate is permitted two mailings. The first mailing happens from January 1 through March 31. The second occurs between the publish date of the District Leadership Committee report and election day.

Question What constitutes a mailing?

Answer 2 – 20 A mailing is any communication that is unsolicited by the recipient and that promotes or publicizes a candidate.

Question Where may candidates display campaign material during district events?

Answer 2 – 30 Candidates may display campaign material at the Candidates’ Corner during district events.

Question When may candidates give campaign speeches?

Answer 2 – 40 Candidates may give campaign speeches at the Candidates’ Showcase and at the Annual Business Meeting.

Question Following the election, how soon must candidates remove candidate websites and social media profiles?

Answer 2 – 50 Candidates must remove candidate websites and social media profiles 10 days after the election.

Question Who qualifies as a proxyholder?

Answer 3 – 10 Any active member in good standing designated by their club president or vice president of education may serve as the proxyholder for that club.

Question Which names are printed on the ballots?

Answer 3 – 20 Nominated candidates are the only names printed on ballots.

Question How many votes may a voting member who is not a district officer cast?

Answer 3 – 30 A voting member who is not a district officer may cast up to two votes, depending on the number of clubs in which the voter is an officer or member.

Question How do you assign a proxy?

Answer 3 – 40 The person giving the proxy asks a member if they are willing to carry the proxy and attend the event. If the proxy is accepted, the original proxyholder fills out the form for this person.

Question Which three items must a Credentials Desk have?

Answer 3 – 50 A credentials desk must have (1) a list of eligible clubs in the district, (2) a list of current district council members, and (3) ballots.

Question In which order should voting for elected positions occur?

Answer 4 – 10 Voting begins with the highest ranked position and progresses to the lowest ranked position.

Question What constitutes a quorum?

Answer 4 – 20 A quorum is one-third of the club presidents and vice presidents of the district, or their proxies.

Question How are ballots collected?

Answer 4 – 30 Ballots are collected either electronically as in the Annual Business Meeting or in a ballot box and taken to the ballot counting room.

Question What happens if there is no majority?

Answer 4 – 40 If there are more than two candidates, the candidate with the least number of votes is removed and members vote again. If there are only two candidates, voting continues until a majority is reached. If a majority is not reached, the process repeats.

Question How do you determine which candidate speaks first at the Candidates Showcase or the Business Meeting?

Answer 4 – 50 The candidates speak in alphabetical order.

Question When is the District Leadership Committee report read?

Answer 5 – 10 The District Leadership Committee report is read during the Business Meeting before candidate speeches.

Question What resource can be used to evaluate candidates?

Answer 5 – 20 District leader competencies, interviews, and applications can be used to evaluate candidates.

Question Where can you find the qualifications for each role?

Answer 5 – 30 Qualifications for each role are listed in the District Administrative Bylaws.

Question Who should receive the district mailing list?

Answer 5 – 40 All known candidates who have signed the Officer Agreement and Release Form should receive the district mailing list.

Question How does each candidate ensure fairness of ballot counting?

Answer 5 – 50 Each candidate ensures fairness of ballot counting by assigning a member to observe the counting of the ballots.
