Our initial results have been very positive… -- Successes to Date : 100% Submission Rate --

Initiative for School Empowerment and Excellence3/23/2006 9 As most of you are familiar with, there are a series of steps to complete a data submission… Student Level Data Submission -- Process Steps -- 1.Extract and Upload FileDistricts or Schools will extract data such as SASID and Attendance information and send the data in a.CSV file to the DOE through the ESS (education statistics system) Web Submission Tool. 2. Review and Correct File Level Validation The system will validate the file. For example, ensure that one student was not in attendance for 400 days (i.e. more days than are in the school session). A report will be generated that allows the district/school to see any anomalies and make the corrections. 3. Run District Level Verification Once all the data for student level submission has been submitted for the entire district (this can be in one file or in many files, it is up to you), you will be able to run a validation report against all the data you submitted. This will check for example that if your student leaves one school to transfer to another school in your district, that he/she was received by the 2 nd school. 4. Review Summary Reports and Trend Reports When you run the district report, summary reports will also be created to allow you to spot check the data you submit. For example, you will be able to compare last years 2 nd grade enrollment to this years 3 rd grade to make sure the numbers are similar (not exact of course!). 5. Sign-Off (via Superintendent) Once all the validation errors have been fixed (e.g. student who was enrolled for 500 days), the superintendent will be able to sign-off on the data. At that point the data will be submitted and locked. Future corrections will require contacting the DOE. 6. View State Level ReportsOnce all of the districts have submitted their data, the state will run a validation report. If errors are identified you will be asked to correct the student records and re-signoff on the file. An example of this validation, would be that a student was claimed for 200 ½ days by your school and another 200 ½ days be another district’s school. Again, it is impossible for a student to be in school 400 ½ days. The system will identify these specific anomalies. 7. Make Corrections if Needed Once you have corrected the anomalies, you will be able to rerun the state report and sign-off on your final submission.

(example: A student is claimed by two districts for a total number of ½ days > 366). 6. View State Level ReportsOnce all of the districts have submitted their data, the state will run a validation report. If errors are identified you will be asked to correct the student records and re-signoff on the file. An example of this validation, would be that a student was claimed for 200 ½ days by your school and another 200 ½ days be another district’s school. Again, it is impossible for a student to be in school 400 ½ days. The system will identify these specific anomalies.
