4. Creating a Scheduled Conference Twelve parameters are configured for a Scheduled Conference. The basic parameters are the conference Date, Start Time and Time Zone. The other parameters are: Scheduled Conferencing Parameters Duration Up to 8 hours Up to 25 callers may speak Includes the Host and Guest Speakers Maximum of (100 – Number of Speakers) Text used to identify the conference Description Number of Listeners Number of Speakers

5. Host Code Guest Speaker Code Guest Listener Code Code used by a conference guest who is allowed to speak during the call. Code used by a conference guest who should only listen during the call. Scheduled Conferencing Parameters Code used by the conference Host to join the call. Three access codes are configured per conference. Each code must be 4- 10 digits in length and must be unique.

9. Joining a Scheduled Conference To join a Scheduled Conference, take the following steps: 1.Dial the SmartConference number hosting the call up to 10 minutes before the scheduled Start Time. 2.Enter a valid Host, Guest Speaker or Guest Listener code when prompted. A participant is added to a conference as soon as they enter a valid code. A beep is played to notify other callers that a new participant has joined the conference.

10. Host Controls The participant who joins a Scheduled Conference as the Host has access to the Host controls. 11. End Notification The conference Host is notified when a Scheduled Conference is about to end. A prompt is played for the Host five minutes before the end time. The Host may increase the conference duration by using the Host controls (#1) or by modifying the conference via the web. If the Host does not increase the duration, the conference is immediately terminated at the end time. End Notification

16. Always-On Guests may not communicate with each other until the Host joins the conference. They hear hold music until the Host arrives. Guests may remain on hold for up to 10 minutes. 17. Host Controls A smaller set of Host Controls is available to the Host of an Always-On Conference. Touch #0 Hear the amount of time remaining and the number of participants on the call The conference length and number of participants may not be altered for an Always-On Conference.
