5 Connecting your audio line to your Lync Meeting

6 Audio User Experience – Microsoft Lync + PGi telephone conferencing Integration +PGi audio conferencing dial-in details are automatically included on invitations +Participants can choose to dial-in or dial-out to connect using PGi audio +In-meeting Lync controls for all audio participants including mute/unmute, and eject (for presenters) The preferred option is to use Lync for audio conferences. If you need to include a non Lync user in an audio conference they can join the audio using PGI. **Your Guests dialling in via the telephone will listen to music until someone connects their audio via VOIP. If all guests and host are going to connect their audio via the telephone ensure the Host connects using the Host passcode. **

8 Audio User Experience – Microsoft Lync + PGi telephone conferencing integration +Use “Call me at” to use PGi audio conferencing dial-out functionality +Remember, if clients select call me at it is essential to use the correct phone lay out- either 0044 or +44 followed by the telephone no dropping the zero i.e. +442078907000

9 User Experience – Find a local number +When someone chooses to dial in using PGi audio and searches for a local dial in number they will be prompted to type in a local number and your participant passcode. Lync Online will only show 2 dial in numbers – more can be found under “find a local number” The phone no to enter in here is either of the numbers listed under Join by Phone The passcode to enter is the participant code under the link to find a local number

10 User Experience – Meeting Room & Join Options Toll, toll-free and international dialing available This is an alternative place to find the audio information to join the meeting

11 Host Experience – In the meeting / * Controls +In Lync Online you can control other participants by right clicking your mouse. You can mute or remove participants, make them presenters/attendees or view their contact card. +IMPORTANT: After muting a person the host is not able to unmute the person again – this needs to be done by the muted person by pressing *6 on the telephone keypad

13 Star (*) functionality- when joining via PGi Audio  Press *1 to hear a help menu.  Press *0 to reach an operator.  Press *6 to mute or "un-mute" line.  Press *4 to increase conference volume.  Press *7 to decrease conference volume.  Press *5 to increase your voice volume.  Press *8 to decrease your voice volume

15 PGi audio integration in Lync Online +Move easily from IM into ad-hoc meetings including PGi audio integration +Invite external contacts to easily join online meetings via a PC/Mac or web based client (up to 1000 participants for web part and 300 for PGi audio)

17 Using your audio conferencing account outside of Lync  You will receive a confirmation email from the email address CollaborationServices@sadara.com CollaborationServices@sadara.com  The email contains your Host passcode and guest passcode Please provide the Guest passcode to your participants Ensure that you do not provide the Host passcode to anyone To start the call dial the local access number i.e. UK London and you will be prompted to enter in your passcode ** Remember, your Guests will listen to music until you start the meeting using your Host passcode**

18 Using your audio account outside of Lync  You have the following additional star features as the host of the meeting when connecting outside of Lync Host Features: Host must enter the Conference with their Host Code  Press *91 to hear a participant count.  Press *92 to hear a roll call of participants.  Press *93 to disconnect all participant lines.  Press *94 to lock or unlock conference.  Press *96 to mute all participant lines.  Press *97 to un-mute all participant lines.  Press *22 to initiate record and playback (*22 to pause/stop).  Press *39 to turn Entry & Exit Tones Off

19 Most effective way to use your account

20 Best practices  So to recap the most effective methods to join your audio to your meeting are: a) Through your Lync account b) Dialling out to a landline/mobile number c) Dialling in using the dial in numbers provided- Dialling into the Saudi Arabia Freephone number will only work for those dialling in from a landline or through a mobile provided by Saudi Telecom. **Please note an additional Saudi Arabia Freephone number will be made available in the coming months which allows access from Zain and Mobily mobiles**  After each conference the meeting owner will be emailed a summary of the call from the email address CollaborationServices@sadara.com. If you receive a summary for a call you haven’t made this should be reported immediately.CollaborationServices@sadara.com
