3 3 Regional Active Directory Summer Project What is this? eSchoolPLUS Student Management System currently uses an Active Directory Server that is only for eSchoolPLUS authentication. This project involves moving all eSchoolPLUS users to the SCRIC Regional Active Directory server. The migration has been scheduled to begin on August 12, 2016. If a district is in the Managed IT service (MITS) with the SCRIC, their network credentials (username and password) will be used for eSchoolPLUS as well. If a district is not in the Managed IT service with the SCRIC, all eSchoolPLUS user names and passwords will be changing.

4 4 Regional Active Directory Summer Project Why are we doing this? Districts have requested to integrate eSchoolPLUS with the Enterprise version of Schoology. Currently 7 eSchoolPLUS districts are using either the free or Enterprise version of Schoology. Others are investigating using in the near future. For districts in the Managed IT service, it will enable single sign on within their district. For districts not in the Managed IT service, it will enable single sign on for RIC applications. Provides savings by maintaining one directory vs two separate ones.

5 5 Regional Active Directory Summer Project What do we know? We must make this change for all districts that use eSchoolPLUS. We are currently working with the vendor of eSchoolPLUS on testing how this will work for both MITS and non-MITS districts. More information will be communicated once testing is completed. 6 6 Schoology Integration with eSchoolPLUS What is Schoology? Schoology is a learning management system. Schoology eSchoolPLUS Admin App is used to configure data synchronization between the systems for buildings, grading periods, users, courses, sections, enrollments and attendance. The Schoology eSchoolPLUS Teacher App is used to sync gradebook assignments between the two systems. Schoology has mapped all the mutual gradebook settings between the two platforms. Dataflow back to eSchoolPLUS includes gradebook categories, assignments and scores. What is the District cost for the eSchoolPLUS to Schoology integration? The cost is $750.00 per district to install the integration App.

7 7 Elementary Report Card Changes Due Date for changes July 1, 2016 Changes will be requested on the same spreadsheet that was used last year Changes are made to the report card set up after rollover and they are then sent to the district for verification. Discussion on the due date and the method for requesting changes Elementary Report Card Contact List

8 8 Rollover and Permanent Record Labels Rollover letters and dates are in each district’s folder– Please contact us if the date is not appropriate. All marking period grades must be updated before rollover. Elementary report cards should be archived before the rollover date. End of Year Meetings – It is very important to attend an end of year meeting. Verifying data on the Next Year Tab Verifying state reporting information Graduate information including new Career Path reporting Permanent Record Labels

9 9 Requesting Reports and Extracts/ Data Sharing Extract Schedules Total programming hours handed out to each district in folders. What’s included in programming hours? In the future, all report and extract requests will filter through a primary contact designated by the district New COGNOS Report Request form is contained in your district folder and it is posted on the eSchoolPLUS web page. We are developing a spreadsheet that contains each districts scheduled extracts. The spreadsheet will be distributed in the spring. We would like you to make updates to the spreadsheet as needed. A sample of the spreadsheet is included in the next slide.

11 11 Using Service Now for Request Tracking RIC uses Service Now to track all work requests. Emails will be converted to Service Now Requests How to request a Service Now account Send email to eschool@btboces.org requesting an accounteschool@btboces.org Include your name, email address, phone number, district and district building We will request an account for you and send you a username and password

12 12 Using Service Now for Request Tracking How to use Service Now Go to the SCRIC Web Page and click Get Support Click “Submit a Ticket” on the left or “Submit a Service Request” on the right Enter the username and password you were given

13 13 Using Service Now for Request Tracking Click Create a New Incident - Your name, contact number, district and building will be displayed Under what do you need help with, select software

14 14 Using Service Now for Request Tracking In the Software drop-down select eSchoolPLUS Type a description of what the issue is in the text box Click Submit You will get an email from Service Now confirming that request has been submitted

15 15 Using Service Now for Request Tracking To communicate with the support person working on your request, click “Reply” and type your message in the email. When your request is complete you will get a resolution email from Service Now.
