DSP Automation Updates DoD Standardization Conference March 10, 2005 Joe Delorie, DSPO

Briefing Roadmap Changes you may or may not have noticed –somebody asked for them (e.g., in ASSIST Feedback), or –no one asked for them, but they improved the ASSIST What we promised last year – and progress towards fulfilling those promises Some new opportunities and possible challenges

Wednesday, March 09, 2005 03:33 AM Database last updated: Mar 08, 2005

http://assistdocs.com

November 17, 2004 Both Filtered and Direct document searches have been enhanced to allow locating documents where a specific Document Number or ID falls within a THRU or AND range MS150451THRUMS150500A NAS1181THRUNAS1188 SAE-AS154701THRUAS155000 Search results will continue to return everything that was previously returned in those searches, but now also returns any THRU or AND documents whose range encompasses that Document Number as well. THRU and AND Number Searches

Searching for Document Number “123130“ yields the search results shown.

December 16, 2004 Document statistic reports by category can now be generated by selecting a preparing service or preparing activity and a document category Besides providing the same level of detail as the "Document Statistics by Organization" report, this report provides total documents for the service's preparing activities by category Document Statistics by Service and Category

The above selections produce the report shown below Note: Results from many of the most frequently used ASSIST management reports may now be exported in spreadsheet format

November 24, 2004 The WSIT provides a way to access Weapon System and Specification Content extracted from third-party sources, including unstructured legacy information Search results appear as structured data within a single WSIT Coherent View* of the Weapon Systems Environment Access to WSIT is limited - links will be shown only where appropriate for those users with the necessary permissions. Weapon Systems Impact Tool (WSIT) *Please refer to WSIT Handout

DoD users may now access both the WSIT and the PMT from within the ASSIST-Online

http://pmt.daps.dla.mil PMT refers users to the DISRonline database for mandated IT standards

Standards in PMT are coded to alert users to status and level of review and approval

January 21, 2005 The Projects List on the Project Update screen in the Project Maintenance module can now be sorted on a user-selected value by clicking on a column header in the list This default screen lists projects in descending Last Transaction date order, but by clicking any of the column headers, the list will be redisplayed with the list sorted on that column Clicking again reverses the sort order If more than 50 projects, resorting restarts the list beginning with the first row … Clicking ‘Previous’ or ‘Next’ displays the previous or next screen of projects with the selected sort order preserved Dynamically Sort the SD-4 Project Update Screen

Administration Applications ASSIST-Online is the portal for document management tools Menu options displayed for users authorized to use application(s) Single Portal Login EDS CCS Document Coordination Projects SD-1

Progress on Promises Maintenance actions –Adding historical documents (a.k.a., cleaning out the warehouse) –DODSSP still at it (added 10,857 document files during Fiscal Year 2004) –Removed the “current” and “historical” column (will replace with document date column) –Effort completed Dec 2004; still performing quality checks; hope to implement by end of month

Progress on Promises Maintenance actions –Developed system requirements document for modernization of the DAPS Maintenance Platform – – Have begun implementing Maintenance Platform Modernization; still more to be done

Administration Applications ASSIST-Online is the portal for document management tools Menu options displayed for users authorized to use applications Single Portal Login EDS CCS Document Coordination Projects SD-1

Progress on Promises Core user modules –Automatic Document Number (ASSIST ADN) (beta tested; policy memo being staffed with DepSOs) –Implemented by Policy Memo 04-1 (3 Aug 2004) –Automatic Project Number utility (alpha testing) –ASSIST Project v2 tested, tweaked; draft policy Memo under review; expect April 2005 release

Progress on Promises Core user modules –Enhanced EDS module (merges EDS/ISA) – 05 –EDS v2 beta testing w/selected SMAs (Apr 2005) –Basic document coordination (drafts) – 05 –Need to draft policy; expect to implement by May 2005 –

Document Coordination Module Features Enforces procedures (e.g., must have approved project number; otherwise use ASSIST Project v2 to get one) Populates notification distribution list with SD-1 essential reviewers Lets Preparing Activities add other non-essential reviewers or delete “essential” reviewers with known non-interest Provides temporary access to ASSIST-Online for non- ASSIST account holders Aggregates comments by paragraph number, and sorts comments by essential and non-essential

Document Coordination Module Features User Profile module modified to add “Drafts” as a check box option for ASSIST Alerts

Future Plans Complete modernization of the maintenance applications (control document distribution at the document part level) Establish better security and access to controlled distribution documents (roles and access) Develop system requirements document Host another ASSIST user group (earlier in year) Field Qualification Database (develop phased implementation strategy)

Last Year Data and System Processes: 108,542 documents indexed 40,055 active/inactive 65,111 canceled 2,735 active DSP projects 21 major publications produced Users and Related Activity: 81,000+ active user accounts 19,000+ military / government 61,000+ commercial / other 27,000+ logins monthly 168,000+ incoming links monthly 297,000+ doc downloads monthly 35,000+ annual alert notifications System Metrics This Year Data and System Processes: 109,400 documents indexed 40,616 active/inactive 65,478 canceled 2,757 active DSP projects 21 major publications produced Users and Related Activity: 46,000+ active user accounts 13,000+ military / government 33,000+ commercial / other 26,000+ logins monthly 162,000+ incoming links monthly 239,000+ doc downloads monthly 33,000+ annual alert notifications

Future Opportunities Establish link or protocol with NSDD database Continue to work with integrating DISA Make it easier for users to access NGS documents where DoD contracts or licenses are in effect, (e.g., DoD Biometric Standards Office) Develop more seamless integration of WSIT and PMT with ASSIST

Potential ‘Potholes’ May have to discontinue assistdocs.com May have to limit non-DoD users access to ASSIST-Online –Plan to implement way to qualify DoD contractors and Government contractors –Plan to review all ASSIST features to determine which can be made available on assistdocs.com or Quick Search Lack of Service Involvement limits ability to populate PMT Lack of access to other than DLA data limits utility of WSIT
