2 How to Take this Training
In order to access the hyperlinks and view all of the content on each slide in this Power Point, you MUST view it in Slide Show mode. If Power Point opens from within Power Point (in Edit mode), please follow these steps to play the slide show: On the bottom status bar, click the Slide Show icon. If you cannot see the bottom status bar, click Slide Show on the top menu, and then click From Current Slide or From Beginning. The easiest way to view this training in Slide Show mode is to press the F5 function key on your keyboard. 4/26/2017

5 LMS Terms and Definitions
4/26/2017 LMS Terms and Definitions Events: Provides details of Instructor Lead Trainings (ILTs). They do not have scheduled days, time or locations. Sessions: Are similar to their associated Event, but in addition, provide the date, time and location of the ILT. Courses: Refer to Online Courses where the instruction is not live. Materials: May include though not limited to articles, job aids, documents, recorded webinars and noteworthy URLs. Learning Objects (LOs): Events, Sessions, Courses and Materials (above) are referred to as LOs. Now, let’s discuss some important Learning Definitions you will need throughout the LMS. Event Events are Instructor Led learning objects (classrooms and webinars) also know as ILTs (Instructor Led Trainings) Events are not scheduled and do not have a location They provide details of that classroom or live webinar learning object. When registering for sessions Events are what you will click on first to then choose a scheduled Session of that Event Sessions Are scheduled, with a location. They will provide the same details (or Event Information) as their parent Event provides… plus Dates Times Locations Directions Special instructions Attachments (job aids, pre-work, etc.) Courses Refer to online courses only These are online and the instruction is not LIVE. Materials Also, in the LMS there are Learning Materials provided for you. These may include though not limited to: articles Job aids Documents Recorded webinars Worthwhile url links Learning Objects All of what we just mentioned are termed Learning Objects. Each Event Each Session is actually a child of its Event Learning Object Each Course Each Material are all learning objects Tests and evaluations (usually associated with another learning object) are also learning objects. Curriculums Are at least 2 Learning Objects grouped together. They have minimum completion requirements. Curriculums can be small, Requiring completion of 1 session and 1 related test. Medium sized New worker trainings are often curriculums Requiring completion of several sessions, related tests, evaluations and perhaps materials Or Large One curriculum may including other curriculums Perhaps requiring completion of The New worker training curriculum Completion of additional trainings at their 1 year anniversary Additional trainings at their 2 year anniversary Other required trainings, like Civil Rights. Curriculum: At least 2 LOs, grouped together. All curricula have completion requirements. VILT: A virtual instructor led training, otherwise known as webinars. 4/26/2017

6 4/26/2017 Accessing the LMS A Field Operations Administration (FOA) Memo on MDHHS Intranet directs staff how to access the new Learning Management System (LMS) login and the supporting trainings. Only staff that have access to Bridges , ASCAP, FFIS or MiSacwis have access to LMS initially. Other staff will be phased in to use LMS in the future. For the first time logging in to LMS, all staff will click “Forgot Password?” All MDHHS users, when accessing from a SOM network connection will utilize Single sign-on (SSO) When you sign-on in Windows You will click a link to land on this Welcome Page Similar to way you access Outlook For non-MDHHS partners (private agencies, agencies accessing from a non-SOM network) You will access from a log-on page (see red inset on right) Provide a Password and ID Then, land on the MDHHS Learning Management System Welcome Page. 4/26/2017

7 Accessing the LMS Step 1:
In the “Login Credential” box, enter your entire work address. Forgot Password brings staff to the security password screen shown here. Follow these steps to establish your login password. = Refresh Click to get a new security word or number if you are unable to read the one provided. = Audio Click this speaker icon to hear the security text from the gray box. You should make sure your audio is on for the computer you are using. Step 2: In the box displaying “Type the text”, enter the blurred text in the gray box above. Step 3: Click Submit

8 4/26/2017 The LMS Welcome Page The Welcome Page is your Landing page This is where you land when you enter the MDHHS Learning Management System (see image on the left) Once you have logged in to the LMS, the Welcome Page displays. Depending on your job duties at MDHHS, your Welcome Page may look different and contain different information. 4/26/2017

9 Top Half of the Welcome Page
4/26/2017 Top Half of the Welcome Page Users can click the logo to return to the Welcome page from anywhere in the LMS. The blue task bar describes what is available in LMS, grouped by tabs. Hover over the tabs to view the dropdown of sub-topics. Click the sub-topic of your choice. Standard welcome messages and specialized messages that announce upcoming events, sessions, courses or materials appear here. Let’s look at The top of the Welcome Page (or landing page) The Header Identifies who we are, includes our logo and perhaps other designs. The blue task bar Describes what is available in the LMS Grouped by tabs You Place your curser over a tab to view it’s sub-tabs Then, Click on the sub-tab of your choice There are standard welcome messages (which always appear) These may include icons and logos There may be specialized messages that appear periodically Announcing a new Event/Online Course Announcing additional sessions opening up for a particular event, Other important information and announcements 4/26/2017

10 4/26/2017 Global Search vi In this example, “vi” is typed into the search field because we are searching for a LO with “VILT” in the title. The search results appear as seen here. Global Search is located on the top right of the Welcome Page and every page throughout LMS. Insert the Learning Object (LO) title or any portion of the title for which you are searching. Remember LOs are events, sessions, online courses, trainings, materials, etc. Global Search Is located in the top right of the page and visible on every page in the LMS. Use Global Search when you have some information about the learning object you are looking for. Insert the name or any portion of the name (“vi” inserted in this example) And search for any Learning Object (Events, sessions, online courses, curriculums and materials) 4/26/2017

11 Advanced Global Search
4/26/2017 Advanced Global Search Type of LO Online Class Event Curriculum Video Test Materials To access the Advanced Search, leave the search field blank and click the magnifying glass icon. Searches are refined based on your entries here on the Global Search and clicking If you are not exactly sure what you are searching for it’s best to input partial words when searching. Click Search with the field empty, you are taken to another global search page (see insert framed in red) Click Refine and search by the LOs Description Subject Location Start date Filter your search more by clicking the icon on the left side of the red inset. Hover the cursor over each icon to have it identified. These will filter by LO type: Event Session Online Training Material Curriculum Video This is not only one way to search for a Learning Object (LO) in the LMS Use this method when you have some information about the LO you are looking for We’ll talk about another method to search for training in the Browse for Training module. 4/26/2017

12 Accessing Help within LMS
4/26/2017 Accessing Help within LMS A Help feature is located on the top right of every page in the LMS by clicking the gear icon , then clicking Help from the drop-down. This dropdown is also where you access account information and logout of the LMS. Now, let’s talk about Online Help Also visible on every page in the system Also, located in the top right of the page It is the star looking icon This is also where you access your account information and logout (which we will not discuss now) Another Help on every page is the Help on the blue task bar. This is not necessarily related to the page you are (as Help, top right is) This Help provides answers to frequently asked questions. Questions like, “How do a register for an Online Course?” or “How do I search for a course” Use Online Help (top right) to learn details about a particular section or page you are on. Use Online Help (blue bar) to find answers about navigating the LMS and other FAQs. 4/26/2017

13 Bottom Half of the Welcome Page
4/26/2017 Bottom Half of the Welcome Page Displays trainings you are registered to take. General topic headings to browse for trainings. Displays links to unfinished work (online courses, tests, and materials). Instructor led trainings (ILTs) for which you are registered. The bottom of the Welcome Page Provides several links and notifications (called widgets) to provide information and ease your navigation throughout the LMS These sometimes provide timely information Inbox Provides approval information regarding external training requests Sometimes links to popular locations Browse for Training (see more info on this in the Browse for Training module) View your Transcript (see more info in the View Your Transcript module) Sometimes widgets remind you and provide you links to tasks that are due To complete an unfinished test Also, The bottom of the Welcome Page provides Reminders and links to unfinished Online Courses. Reminders and links to the training details of upcoming trainings you are registered for. The bottom of the Welcome Page provides links, notifications and information to ease navigation throughout the LMS. Your screen will look different than this display here, but will have similar features. 4/26/2017

Browse for Training: Access filtering your learning objects, viewing training details and registering for a Learning Object via Browse for Training and the Events Calendar.
