3 How to use this program…part 1 This is a ‘Tutorial’ on how to setup and use ‘Outlook’ within the WHRSD network. You will also be using ‘Word’ to answer questions during this assignment. Before you go to the next slide, you will need to open ‘Word’. As soon as Word is opened, minimize it. Open Word from the Start menu by pressing the ‘Windows’ key. Go to Programs, Microsoft Office, Microsoft Word. You will need to switch between ‘Outlook’,‘PowerPoint' and ‘Word’. You can do this by holding the ‘Alt’ key, then pressing the ‘Tab’ key. For now, be sure to have ONLY PowerPoint and Word running. TRY THE ALT-TAB PROCEDURE NOW. When you know how to use Alt-Tab, click on the Sports Car to proceed!!

4 How to use this program… part 2 You will be answering questions in Microsoft Word throughout this lesson. Whenever you see the ‘page’ icon, you will have to click on it and answer questions pertaining to the lesson. Keep answering the lesson questions until you see Back at the end of a line. Click on Back to get back to the PowerPoint presentation. Click on the Sports Car to proceed!!

5 What can we do with Outlook E-mail Calendar Contacts Outlook Web Access (Internet Access to email) Click on the light bulb to find out more! If you have clicked on all of the light bulbs, review your work and e-mail it as an attachment to Mr. Brunelle Done

6 Setup email Double-click on the ‘Outlook’ icon from your desktop If Outlook loads, then your in luck!! It’s all set up for you and you can click on the sports car to keep moving!! If you get to a setup screen, we have a few details to fill in. THEN Outlook will be set up on your profile. Click on the door to the ‘Disneylan’

7 Setting up folders There is nothing more frustrating (with your computer, that is) than sifting through a bunch of files or email messages trying to find JUST ONE!! It is important to set up ‘Folders’ in Outlook so that you can organize your email messages. HERE ARE THE STEPS!! 1.Right click on ‘Outlook Today’ 2.Left Click on ‘New Folder’. Type in ‘Friends’ 3.Repeat Step 2, substituting ‘Family’ and ‘School’ as new folder names. 4.After you have read an e-mail message, close it out. Move it to the appropriate folder by ‘right clicking’, then choose the folder you want it stored in.

8 Let’s get rid of all of this junk !! (And organize the important stuff) Highlight and delete any messages from people that you don’t recognize. Why is it important to setup folders in Outlook? 10 Welcome to ‘Disneylan’ Click on ‘Microsoft Exchange Server’ When you are prompted for an Exchange Server name, type ‘goofy’. Remember, we are in ‘Disneylan’ Graphic for Exchange screen Click on the Sports Car to keep moving!!

11 Composing and Sending Email Tips on sending e-mail… Click on New, then To if you are sending an e-mail to a person from school. Then start typing the person’s last name. When you see their name scroll up, double click on it. Click on New, then type in the person’s email address if you are sending an email to a person outside of school. Always type in a subject. 12 To, Cc and Bcc Flavio, REMEMBER!! To is where you put the name of the person you are sending the message to. Cc is for sending a carbon copy of the message to another peron. Bcc is for sending a Blind Carbon Copy to another person. With a Bcc, the person(s) in the To box, and the person in the Cc box will not know that you sent the message to the person in the Bcc box!! 13 Questions on Sending and Composing Mail Explain how you would send an email to a person from school. Why is it important to always include a subject in your emails? 14 Emailing an attachment You can email any file you have on your computer to someone as an ‘attachment’. Click on the paper clip and then browse for the file you would like to attach. After you have inserted the file you want, it will appear within your email message.

15 Using the Calendar The Calendar in Outlook is useful keep track of your daily, weekly and monthly appointments and activities. From the ‘Outlook Shortcuts’ bar, click on ‘Calendar’. From the ‘View’ menu, click on ‘5 Work Week’. Click on any of the yellow squares and experiment with setting up appointments, events, athletic events, etc. Set up at least five events on at least five different days and times. When you have finished, Click on the Sports Car to keep moving!!

17 Using Contacts ‘Contacts’ is an easy way to organize names and addresses. You should add people who you e-mail frequently into your ‘Contacts’. Setup your ‘Contacts’

18 Setup Contacts Click on ‘Contacts’, then ‘New Contact’. Click on the ‘General’ tab. Click on the ‘Full Name’ and ‘Address’ buttons and fill in the fields. We will ONLY use the ‘General’ tab in 6 th grade. When you have finished, click on ‘Save and Close’. Add three more contacts (no more than three today). Be sure to ‘Save and Close’ with each of them. Click on the sports car to keep moving

19 Questions about Contacts Why are ‘Contacts’ useful? Who should be added to your ‘Contacts’? Click on the sports car after you have answered the questions 10. 11.

20 Web Access Outlook Web Access allows you to access your Hanson Middle School email from your home computer or any computer that has internet access. 1.In the Address Box of your browser, type in ‘email.whrsd.org’ 2.You could get a dialogue box that looks just like your logon box at school. Type in your user name and password, just like at school. Be sure to type in ACADEMIC in the domain box. 3.You may get a dialogue box without a Domain box. If that is the case, in the ‘User Name’ box type ‘ACADEMIC\lastname.firstname’ Try using ‘Outlook Web Access’ from your school computer now. When you are done, click on the sports car to keep moving.
