2 Traveling By Air, Car or Train?  In most cases you will need to fill out a Travel Request Form.  Travel forms are submitted electronically.  Plan ahead.  Always save your RITS correspondences.

3 Doing Business with RITS Traveling by Air? Plan Ahead.  Tickets should be issued:  16 days prior for domestic travel  24 days prior for international travel

4 Doing Business with RITS AIR: Submit Travel Request Forms  Email forms to RITSonline@rotary.org or your local affiliate with a copy to your TRF Coordinator.RITSonline@rotary.org  “Rotary Travel” in Subject Field  Include home city and nearest airport  Optional: submit cost estimates on form

5 Doing Business with RITS AIR: Submit Travel Request Forms (continued)  Request Local Purchase if you think you can get ticket cheaper. Submit copy of priced itinerary with your travel request form. If US $ 100 lower it will be approved.  If driving and mileage is less than US $250 roundtrip, approval not required. RITS must approve trips over US $250 roundtrip.  Need a rental car? Include rental car request on Travel Request Form.

6 Doing Business with RITS AIR: Upon Receipt of Travel Request  Receive email acknowledgement in 2 business days  If using RITS Evanston, do not contact your previous RITS travel counselor – submit your request to RITSonline@rotary.org  If no acknowledgement received in 2 days, email Carla.DeSanto@rotary.org Carla.DeSanto@rotary.org  Type “Second Request” in subject field  Monitor your email until transaction is completed.

7 Doing Business with RITS AIR: Double Check Your Itinerary  Times, dates, destinations, name  Once you approve, tickets are issued.  Any changes or errors, contact the RITS agent within 24 hours to void the transaction.  Rotary will reimburse checked baggage fees. Avoid overweight bags.

8 Doing Business with RITS Traveling by Car or Train?  RITS must pre-approve trips over US $250 roundtrip.  If over $250, not pre-approved, reimbursement capped at US $250.

9 Doing Business with RITS By Car  Rather drive than fly? Submit a Travel Request Form listing mileage. Reimbursement based on lowest air ticket.  You may request lower reimbursement if mileage payment is more than actual cost.  Include rental car request on Travel Request Form

10 Doing Business with RITS By Train  If less than US $250 roundtrip, RITS permission not needed.  If more than US $250 roundtrip, submit Travel Request Form. RITS determines which is more cost effective: airfare or train. Train without RITS approval capped at $ 250.  Purchase train ticket locally and seek reimbursement.

11 Doing Business with RITS Hotels  Hotels reserved by Conference organizers or local Rotarians? Try to reserve those first. Better rates.  All other hotel reservations through RITS
