11 Proprietary and Confidential Copyright © 2005 INTTRA Inc. 11 Creating a Booking or Template Carrier Selection and Reference Numbers The first section of the Booking Request asks you to choose a carrier Contract/Quote/Tariff number, PO number, and Customer Reference numbers can be input to: Better manage shipments Enhance container tracking Perform detailed booking searches on any of the fields

12 Proprietary and Confidential Copyright © 2005 INTTRA Inc. 12 Creating a Booking or Template Additional Reference Numbers Additional Reference Numbers all additional references can be used as search criteria when checking an individual booking or container status any reference can be removed by checking the box next to the label and clicking Remove Reference A very popular feature of INTTRA booking, and one that adds great value to the tracking and reporting functions, is the Additional Reference Numbers option. Dont forget to click Add Reference before clicking Done to add the reference numbers

13 Proprietary and Confidential Copyright © 2005 INTTRA Inc. 13 Creating a Booking or Template Cargo Information - Hazardous Material Cargo Information Enter the Cargo Description and Weight NOTE: Only one cargo description per booking Hazardous Materials if the cargo requires HazMat descriptions, click the Hazmat link select from either the IMO class (*) drop down box OR enter the IMO Class/Division code directly - one or the other is required, but not both UN Number (*) is also required multiple IMO line items per shipment may be entered if needed

Remember: Fields indicated by a red * are required fields when sending a booking request. They are not mandatory when creating a booking template.

15 Proprietary and Confidential Copyright © 2005 INTTRA Inc. 15 Creating a Booking or Template Container Information - Reefer Settings If a Reefer is selected as the equipment Type/Size, you must add a temperature setting. Reefer settings will be the same for all equipment in a single booking. Additional comments concerning Reefer settings, including pre-cooling and atmosphere control, should be input in the comments field.

16 Proprietary and Confidential Copyright © 2005 INTTRA Inc. 16 Creating a Booking or Template Routing Information Routing Information Choose a move type from a drop-down list receipt and delivery fields must be completed for all moves including Port-Port moves load port and discharge port fields are optional carrier schedules can be searched and selected ETA - On the confirmation, the carrier will return the schedule data relative to the desired ETA. specific IATA or UN location codes as well as free text can be used to choose any location

17 Proprietary and Confidential Copyright © 2005 INTTRA Inc. 17 Creating a Booking or Template Routing Information - Carrier Schedules Carrier schedules can be utilized to select specific vessel/voyages. Click the Search Schedules link. Utilizing the Schedules is not mandatory. If you do not select a specific vessel/voyage for your Booking Request, the ETD or ETA field must be filled in.

19 Proprietary and Confidential Copyright © 2005 INTTRA Inc. 19 Creating a Booking or Template Booking Parties Booking Parties shipper or freight forwarder details are required for a booking request to be submitted choose your role(s) by selecting a box in the column labeled My Role if you are the booking party and want your partner(s) to view this booking, click Search and select that company this will automatically fill in the company name and place a check mark in the box labeled INTTRA Member You must select an INTTRA Registered company from your partner list to provide visibility to this booking Company names that are manually input will not be granted visibility Note: To add additional customers to your partner list, contact your local INTTRA Customer Service representative

20 Proprietary and Confidential Copyright © 2005 INTTRA Inc. 20 Creating a Booking or Template Booking - Notifications You will have the following notification options for each booking: Email Notification - receive email notifications when the carrier confirms or updates the Booking request Partner Notification - send email notifications for confirmations and updates to up to six recipients that you define CSI 1 Notification - alert the person responsible for your documentation that Shipping Instructions are due for this booking notifications are sent daily -- they start 30 days prior to the vessel sail date 1 CSI (Container Security Initiative) - In Jan. 2002, U.S. Customs launched the Container Security Initiative (CSI). The initiative is designed to enhance security of the sea cargo container

21 Proprietary and Confidential Copyright © 2005 INTTRA Inc. 21 Creating a Booking or Template Booking - Send or Save The Booking Request is ready to be: Sent to the carrier Saved as a Template Saved as a Draft To send the booking request, click To save as a Template, type a name in the Template Name field and click If you need to finish the booking information later, click Book Now Save as Template Save as Draft

In this example, we are saving the booking details as a Template.

If changes need to be made, click Make Changes. If the information is correct, click Save Template. The template has been successfully saved and is now available to be re-used!

The booking request has been sent to the carrier for processing and confirmation. Carrier Booking Number / Rapid Reservation If you have selected a carrier that is enrolled in our Rapid Reservation program, you will receive a Rapid Reservation (RR) number immediately.

26 Proprietary and Confidential Copyright © 2005 INTTRA Inc. 26 Sending a Booking Request Booking - Confirmation Email / HTML attachment The confirmation email has been reformatted to make finding important information easier An HTML document is also attached The booking information is presented in an easy-to-read format The document is also easy to print or forward to other parties The bottom of the email includes links to the Booking Summary page in INTTRA-ACT From there you can start Shipping Instructions If you received this email and are not a registered INTTRA user, a link is provided that will take you to the INTTRA.com home page The carrier booking number is indicated here. If you received an RR number when you submitted the booking request, this number should be the same.
