1 How to Complete an Activity Petition: Getting it Right the First Time

2 An Activity Petition should be completed for EVERY ACTIVITY
An Activity Petition should be completed for EVERY ACTIVITY. That means that if you are conducting a fundraiser, or having a banquet that is not on the activity calendar for the year – they both must have an activity petition completed. IF YOU DON’T HAVE AN ACTIVITY PETITION ON FILE FOR A FUNDRAISER, THE MONEY WILL NOT BE ACCEPTED BY THE BUSINESS OFFICE. Oh…and ALL MONEY FROM FUNDRAISERS MUST BE TURNED INTO THE BUSINESS OFFICE. NEVER…EVER…EVER…take money from a student!!!!!!! (This is for your protection – advisors have been accused of taking money in this way.) Also, opening an account outside the school for any club, athletic team, or organization, is ILLEGAL according to California Education Code. If you do this, you can lose your teaching credential.

This is the Activity Petition. It is available in the Business Office. If you will notice, you must have this approved TWO WEEKS before the activity or fundraiser. Please remember when planning, that you cannot always get your first choice of date. Also, if another club or organization has applied to sell the same item, the first club/athletic team to apply will be approved. Exceptions to this would be the Krispy Kreme sale – done by the Freshman class in the fall, and the Senior Class in the winter, and any fundraiser in which more than one club or athletic team will participate – for example, the All Club Barbeque.

4 Approval of the Activity Petition does not give you permission to purchase anything. If you will need to purchase supplies for a fundraiser, or for an event, then you will need to complete a Purchase Request for those expenses (see the presentation on completing Purchase Requests). If you don’t have the money in your account to pay for the event, or if you need to collect money from students, you must complete one of these forms for those donations. RULE OF THUMB – without an Activity Petition, the Business Office will not accept money.

5 Please be precise in writing in the name of your club
Please be precise in writing in the name of your club. Some clubs have different accounts for different areas or academic years – for example, FFA or AVID, and it gets confusing if it isn’t specific. If there is confusion, the Activity Petition will be sent back to you for clarification. NOTE: Athletic teams are not separated by freshman, junior varsity or varsity – but you should put the specifics on the form, so the Business Office will have an idea of how many athletes will be turning in money.

6 If you are conducting a fundraiser, you should indicate whether it is a dance, a catalog sale, a bbq/food sale, a sponsor letter, or something else. Once you do that, you must complete the fundraising profit estimate. This is what you are selling. This is how much you are paying for the product. This is how much you are selling the product for. This is how many you are planning to sell. This is how much profit you will make. Okay…if you are selling catalog items at different prices, then choose the smallest amount of sell, and base your profit estimate on that. If you have a vendor coming in, and they are giving you a portion of profits, just estimate how much you think they will sell, and how much profit you will make. If you are taking donations from students, just put in the amount of the donation (sale price), and put “N/A” in the Profits blank.

7 On Campus…Off Campus…Both – this needs to be clear
Choice of Dates: This is a RANGE of dates that you would choose for your first choice and second choice – if it is a fundraiser. For example: September If it is for an activity, then it would be a single date. PLEASE – Don’t put the first date in the first box and the second in the second box. The whole point is to have two choices for the RANGE of the fundraiser. On Campus…Off Campus…Both – this needs to be clear Purpose of fundraiser: This needs to be as specific as possible!!! Please, don’t just say “Club expenses”, because it will be sent back to you. In order for you to conduct a fundraiser, according to California Education Code, you must have a specific reason, such as “to pay for expenses incurred for the club banquet”, or “to raise money for a college field trip”. ATHLETIC COACHES: Please have your Activity Petition signed by Greg Lanthier.

After completing the Activity Petition, attach any of these things, if relevant: A copy of any flier that you will be using A copy of any sponsor letter A copy of any catalog from which students will sell A copy of any ticket information (not a specific ticket) You DO NOT need to attach: Minutes Please remember that all tickets will be made for you by the Business Office. Also, you will need to have a Fundraising Permission Form from each student who will be selling.
