6 Serving the people of Cumbria Do not use fonts other than Arial for your presentations How to submit a compliant tender Via The Chest By the deadline Include all the information ask for (pricing, timetable etc) Answer all questions honestly (ie do not state ‘unlimited’ on number of routes you could be awarded’) Do not upload photocopies or photographs of your bids

7 Serving the people of Cumbria Do not use fonts other than Arial for your presentations How the tenders will be assessed Any Contract(s) awarded will be done on the basis of the outcome which yields the Lowest Overall Cost to the Council. The Council will take into consideration the capacity limits and volume discounts provided by each Tenderer when evaluating this outcome.

8 Serving the people of Cumbria Do not use fonts other than Arial for your presentations How to get ready for the start of the contract (1) DBS Checks  Cleared must be personnel in place for the start of the contract– allow 6-8 weeks for the DBS check process to be completed.  NB Operators responsibility to ensure original DBS certificates are presented to the Compliance Team for inspection and verification (DBS Code of Conduct does not allow us to accept copies including electronic ones)  DBS forms available from the Compliance Team

9 Serving the people of Cumbria Do not use fonts other than Arial for your presentations How to get ready ….(2) All other relevant documentation must be in place: Operator and vocational driving and vehicle licences V5’s MOT’s insurances (motor vehicle and public liability) Escorts Escort training should take place within 3 months of inception of the contract or next available training course within their area Medically trained escorts are trained by the Community NHS nurses, and arranged by the Transport Safety Officer.

Remember to look out for the opportunity in your in-box. 2. TIME. Check the deadlines for submission 3. HELP. Don't be put off by tender documentation. Ask for help if you do not understand anything; Post your questions via the Q+A section within The Chest. No questions can be answered outside this section. 4. READ. Read the specification and other documentation carefully so that you fully understand what is required; 5. INFORMATION. Ensure you supply all information requested and in the correct format. If you cannot supply all the information, ask for advice (see point 2 above)

Do not include general publicity information with your tender unless you have been specifically asked to do so. 7. EVALUATION. Check the criteria that will be used to evaluate the tender and ensure that your submission covers all necessary criteria adequately; 8. CLARITY. Be clear on the pricing model you are submitting and the assumptions you have made i.e. you can hold the price for required period. BUT…….IF IN DOUBT ASK
