Agenda Editing Presentation Masters Editing Notes and Handout Masters Exporting Outlines and Slides Presenting to a Wider Audience Printing

Lesson 1 Editing Presentation Masters Working with the Slide Master Formatting the Slide Master Adding Header and Footer Information Formatting the Title Master Inserting a New Slide Master

Working with the Slide Master The slide master controls the overall look of the slides in a presentation. As slides are added to a presentation, each new slide is automatically formatted according to the slide master. Users can insert a picture of a globe on the slide master and it will appear on all presentation slides, except the title slide. Make changes to the slide master at any time.

Formatting the Slide Master In Slide Master view, change the font, add graphics, and modify other slide attributes. Formatting changes made to the slide master are applied to all slides in the presentation.

Adding Header and Footer Information Add headers and footers to the slide master using the Header and Footer dialog box. Use to add the date and time, a footer, and/or slide numbers to appear in a presentation.

Formatting the Title Master The title master controls the look of all slides based on the PowerPoint Title Slide layout. The title master allows users to create a title slide with a format that differs from the rest of the presentation. Changes made to the title master affect only slides based on the Title Slide layout; other slides in the presentation are not affected. The title master displays placeholders for the Title, Subtitle, Date, Footer, and Number Areas.

Inserting a New Slide Master There may be times users want the attributes on one or more slides to vary from the master. PowerPoint 2007 allows you to create and insert multiple masters in a presentation. When inserting a new slide master, users can also add a new title master, if desired.

Working with the Notes Master Formatting the Notes Master Adding a Notes Master Placeholder Formatting the Handout Master Adding a Handout Master Placeholder Lesson 2 Editing Notes and Handout Masters

Working with the Notes Master Users can create notes for each slide to help with practicing their presentation. Once the notes are created, users can print them on notes pages. Printed notes pages can be especially useful for practicing the presentation.

Formatting the Notes Master Users can modify the notes master to create a uniform layout and format for their notes. Change the font, modify paragraph spacing, add graphics, and change other attributes of the notes master. Users can also assign different attributes to each area of the notes master. The changes made to the notes master will affect all notes pages in a presentation.

Adding a Notes Master Placeholder Use the Header and Footer dialog box to add the date and time, header or footer information, or page numbers placeholder to the notes master. Enabling any one of these options will display the information on all notes pages.

Formatting the Handout Master Handouts are printed copies of all slides in a presentation and can be distributed to the audience. Handouts can be used to take notes or as a reference after viewing the slide show. The handout master determines the appearance of all handout pages. Any text or graphic element placed in the handout master appears on all handout pages.

Adding a Handout Master Placeholder Users must switch to Handout Master view to change the font, add graphics, or modify other attributes. Assign different attributes to each placeholder in the handout master.

Exporting Notes and Handouts to Word Exporting an Outline to Word Saving a Presentation as an Outline Saving a Slide as a Graphic Lesson 3 Exporting Outlines and Slides

Exporting Notes and Handouts to Word Slides can be exported to Word to create handouts or notes pages. Word provides more layout and formatting options.

Exporting an Outline to Word PowerPoint allows users to export a presentation outline to Word. After exporting, edit the outline using Word editing tools. Users can import the outline back into PowerPoint from Word, however, most design aspects will be lost and must be reapplied.

Saving a Presentation as an Outline In addition to exporting the presentation outline to Word, users can save a presentation outline in rich text format (.rtf). Users can then edit and format the outline in Word as desired. If the presentation includes hyperlinks, they are saved with the outline. Graphic images, however, are not saved.

Saving a Slide as a Graphic Save a slide as a graphic file. Once saved, it can be inserted as a picture in other types of documents. Save as:.gif,.jpeg,.wmf, or.bmp.

Lesson 4 Presenting to a Wider Audience Sharing Presentation Ideas Embedding the Fonts in a Presentation Packaging a Presentation for CD Using the PowerPoint Viewer Formatting a Presentation for the Web Inspecting the Document Annotating a Presentation Sending in PDF Format

Sharing Presentation Ideas Share a presentation by presenting it to a large audience in one room. Package the presentation on a CD with any linked files and unpack on the computer where the presentation will be presented. View the presentation using the Microsoft SharePoint Portal Server on the Internet. –Subscribe to alerts to be notified when a file is changed by another user.

Embedding the Fonts in a Presentation Embed fonts in the presentation to ensure it plays with the fonts the user selected. Automatically embed the fonts when the file is saved in the PowerPoint options dialog box.

Packaging a Presentation for CD Package for CD automatically saves and copies all associated files and objects to a CD or DVD. This ensures the presentation appears as planned on any computer. This feature allows users to move the presentation to different computers according to wherever the presentation will take place.

Using the PowerPoint Viewer The PowerPoint Viewer is a program that allows users to run slide shows on computers that do not have PowerPoint installed.

Formatting a Presentation for the Web Save presentations for use on the Internet. The Save as Web Page features does this. Save as Web Page allows users to still open it in PowerPoint without losing the formatting.

Inspecting the Document The Document Inspector scans the presentation to ensure there is no potentially confidential information attached to it.

Annotating a Presentation Ink annotation is writing on a slide with a mouse pointer during a slide slow. Choose from Ballpoint, Felt Tip, or Highlighter.

Sending in PDF Format Save the presentation in a number of formats. Portable Document Format (PDF), is an open standard for document exchange. –Operating system independent –Widens potential audience To use this feature, an Add-In from the Microsoft website is available for free.

Lesson 5 – Printing Printing Presentation Selecting Page Setup Options Previewing a Presentation Printing Slides Printing Speaker Notes Printing Outlines Printing Handouts

Printing Presentations Preview and print an entire presentation as: –Slides, speaker notes, outlines, handouts Select the print options by using the Print dialog box to choose what and how to print. Print in color, grayscale, or black and white. Choose to print just a range of slides. Use print preview to see how the presentation will look after it is printed out.

Selecting Page Setup Options The Page Setup Dialog box allows users to customize the printed slides. Determine the size of paper to print on and choose the paper orientation. Specify different widths and heights, as well as different start slider numbering other than “1”.

Previewing a Presentation Before printing, use Print Preview to see how each slide will appear on the printed page. Use the zoom button to change magnification.

Printing Slides Users don’t have to print out the entire presentation if it is not necessary. Specify a range of slides to print: –1, 3, 5, 7 or 1-9 or 1, 4, 6, 7-12 Users can choose to place a thin frame around each slide, as well as print comments. Scale the slides to fit the paper–to resize the slide image to fill the page.

Printing Speaker Notes Print any notes that have been added to slides. Printed notes page displays a copy of the slide at the top of the page and notes below it.

Printing Outlines Print the outline of the presentation. The printed outline displays the contents of the slide as it appears on the Outline tab. If the outline is collapsed to display only the slide titles, the printed outline will include only the slide titles.

Printing Handouts Printed handouts contain slide images that are smaller than the original slides (similar to thumbnails). Designate the amount of slides per print page: –one –two –three The more slides per page, the smaller they will display on the page. –Three slides come with note taking lines. –four –six –nine
